Position Summary
We are seeking a detail-oriented and analytical Private Client Associate to support our growing Registered Investment Adviser (RIA) and financial services firm. The PCA is a client-facing role responsible for supporting Advisors through the execution of investment operations, account servicing and maintenance, and day-to-day client requests. This individual serves as a key liaison between advisors, clients, custodians and internal operations to ensure exceptional service delivery and operational excellence.
Key Responsibilities
Advisor Support
- Assist and support advisor in all aspects of client service for their investment management clients.
- Monitor calendar for upcoming client meetings and prepare materials.
Client Service
- Provide a high-touch client service experience for all clients.
- Manage advisor work requests while ensuring accuracy, timeliness, and exceptional client service.
- Respond to client inquiries regarding account activity, transfers, distributions, and account maintenance.
- Maintain communication and set appropriate expectations for ongoing projects.
- Develop trusted relationships through professionalism, responsiveness and attention to detail.
Account Servicing
- Review client portfolio performance and data entry reports each month
- Prepare and review custodian/money manager applications; including investment policy statements and account transfers.
- Prepare wire transfer forms, execution forms, journal letters, duplicate statement letters, authorization letters and client memos.
- Prepare and review investment recommendations and portfolio updates.
- Coordinate cash movements, wires, journals and asset transfers.
- Track and process required minimum distributions.
- Monitor account status and resolve exceptions with custodians.
- Liase with internal and external partners regarding tax and estate planning needs.
- Generate quarterly investment performance reports and invoices.
- Prepare and review ad-hoc reports; transaction reconciliations, gain/loss reports, asset ownership summaries.
- Review portfolio for sales upon client’s request for cash.
- Review portfolio for year-end tax loss harvesting.
- Review portfolio monthly for large cash balances to ensure accounts are invested accordingly.
- Review portfolio for available cash to debit investment management fees.
Qualifications Required
- Bachelor’s degree required; equivalent professional experience will also be considered.
- Previous experience working for a Registered Investment Adviser (RIA), wealth management firm, broker-dealer, or financial services organization.
- Advanced Microsoft Excel skills, including formulas, lookups, sorting/filtering, and data manipulation.
- Strong numerical aptitude with the ability to work comfortably with financial information.
- Exceptional attention to detail and organizational skills.
- Ability to manage multiple priorities while maintaining a high level of accuracy.
- Strong written and verbal communication skills.
Preferred
- Experience with Black Diamond, Orion, Addepar, Tamarac, or similar portfolio accounting and reporting platforms.
- Familiarity with custodial platforms such as Schwab Advisor Services, Fidelity Institutional, Pershing, or similar custodians.
- Understanding of investment products, portfolio reporting, and financial markets.
Knowledge, Skills & Abilities
- Ability to read, analyze, and understand all components of brokerage and custodial statements.
- Working knowledge of investment terminology, including stocks, mutual funds, ETFs, bonds, options, restricted stock, and alternative investments.
- Strong analytical and problem-solving abilities.
- Excellent accuracy in high-volume data entry.
- Ability to identify inconsistencies and reconcile financial data.
- Strong organizational and time-management skills.
- Ability to work independently while collaborating effectively with advisors and operations staff.
- Commitment to maintaining confidentiality and handling sensitive financial information with discretion.

Pay: $85,000.00 - $115,000.00 per year
