Position Summary
St. Paul Elder Services is seeking a dependable and organized Transportation Coordinator to oversee the daily operations of our transportation services. This position is responsible for coordinating transportation schedules, managing the vehicle fleet, supervising drivers, ensuring regulatory compliance, and providing safe, reliable transportation for residents and participants throughout the St. Paul Elder Services continuum.
The Transportation Coordinator works closely with residents, families, drivers, leadership, and community partners to ensure exceptional customer service while maintaining efficient operations and a safe transportation program.
Key Responsibilities

Coordinate daily transportation schedules and dispatch drivers to maximize efficiency and meet resident needs.

Oversee the fleet management program, including vehicle inspections, maintenance schedules, fuel management, and vehicle cleanliness.

Perform and review daily pre-trip and post-trip vehicle inspections and coordinate necessary repairs and preventative maintenance.

Develop and manage monthly driver schedules, including weekends, holidays, mandatory training, and special events.

Supervise, coach, and support transportation staff while promoting excellent customer service and safe driving practices.

Recruit, interview, onboard, and evaluate drivers in partnership with Human Resources.

Coordinate transportation billing, documentation, and administrative processes.

Maintain accurate transportation records, including trip logs, maintenance records, fuel purchases, inspections, incident reports, and vehicle documentation.

Provide transportation services as needed to support residents and operational needs.

Assist residents, including individuals with mobility limitations, safely entering and exiting vehicles using wheelchair lifts, ramps, and securement equipment.

Plan efficient transportation routes using maps, GPS, and scheduling software.

Respond appropriately to accidents or medical emergencies by initiating emergency response procedures and providing First Aid and CPR when necessary.

Conduct departmental meetings, staff training, and ongoing quality improvement activities.

Participate in regulatory reviews, audits, and compliance initiatives, including COR surveys.

Promote a therapeutic, respectful, and resident-centered environment through positive communication and compassionate service.

Ensure compliance with HIPAA, Federal Transit Administration (FTA), Department of Transportation (DOT), organizational policies, and safety regulations.
Required Qualifications

High school diploma or equivalent.

Valid Wisconsin Commercial Driver's License (CDL).

Current First Aid and CPR certification.

Minimum of five years of motor vehicle operation experience.

Basic knowledge of vehicle maintenance and fleet operations.

Strong organizational, leadership, and communication skills.

Computer proficiency with scheduling, documentation, and reporting systems.

Excellent driving record and ability to safely operate vehicles in all weather and road conditions.
Preferred Qualifications

Previous experience in healthcare, senior living, public transit, or elder care transportation.

Experience supervising transportation staff or coordinating transportation services.

Knowledge of Federal Transit Administration (FTA) and Department of Transportation (DOT) regulations.

Experience with transportation scheduling, fleet management, and billing systems.

Work Schedule

Monday–Friday, 7:30 AM – 4:00 PM

Participation in an on-call rotation.

Some driving required to support resident transportation and operational needs.
