Caresify Home Care is a fast-growing, multi-state home care provider dedicated to delivering compassionate, high-quality care to clients in their homes and communities. We’re looking for an experienced Office Manager to lead operations at our Upper Darby location and help drive growth while ensuring compliance and excellent client experiences.
Position Overview
The Office Manager will oversee day-to-day office operations, supervise staff, and directly support business development. This role requires hands-on knowledge of CSS (Client Service Supervisor) and CM (Case Manager) functions—especially scheduling, client intake, and care coordination.
Important Requirement:
Candidates must have previous experience working for a non-medical home care agency (or currently working in one and seeking to transition into management). This is essential for success in this role.
Key Responsibilities
● Manage daily operations of the Upper Darby office.
● Supervise HR functions: onboarding, employee records, and compliance.
● Perform and oversee CSS and CM duties, including:
○ Scheduling caregivers and clients efficiently.
○ Handling schedule changes, coverage needs, and open shifts.
○ Monitoring client satisfaction and resolving service issues.
○ Supporting caregivers with assignments and ensuring compliance with care plans.
● Conduct new client intakes and start services promptly.
● Build relationships with referral sources, prospective clients, and community leads.
● Ensure quality assurance and adherence to agency policies and state regulations.
● Maintain accurate records and prepare reports as needed.
Qualifications
● Required: Prior experience working in a non-medical home care agency (administrative, HR, scheduling, or client service role).
● Proven track record as an Office Manager, HR Supervisor, CSS, CM, or related role.
● Strong understanding of scheduling and care coordination.
● Knowledge of HR processes: hiring, compliance, supervision.
● Excellent organizational, problem-solving, and communication skills.
● Ability to manage multiple priorities while maintaining quality and compliance.
● A book of business or strong referral relationships is a plus.
Preferred Skills
● Bilingual (English/Spanish or English/other languages).
● Familiarity with EVV systems (WellSky, HHAeXchange).
● Knowledge of Medicaid waiver programs and private pay models.
