Schedule: Flexible, with occasional evening availability as neededPosition OverviewBay Area Tutoring Association is seeking an Online Program Manager to provide leadership and oversight of our online tutoring programs. This role ensures high-quality academic support, strong operational systems, and exceptional service for students and families.The Online Program Manager is responsible for planning, implementing, monitoring, and evaluating all online tutoring programs while directly supervising Program Coordinators who manage individual sites. This position plays a key role in maintaining program quality, supporting staff, and ensuring students receive consistent, high-impact tutoring services.Key ResponsibilitiesProgram Oversight & Management
- Oversee all online tutoring programs from enrollment through completion
- Lead program planning, implementation, monitoring, and reporting
- Ensure alignment with BATA standards and family needs
- Monitor student attendance, engagement, and tutor performance
- Troubleshoot program issues and implement effective solutions
- Maintain strong communication and customer service with families
- Oversee programs without assigned Program Coordinators
Staff & Coordinator Supervision
- Supervise Program Coordinators managing online programs
- Conduct regular check-ins on student progress, attendance, and operations
- Provide coaching, training, and ongoing support to coordinators
- Ensure consistency in program quality and policy implementation
- Support scheduling, communication, tutor management, and problem-solving
- Review program data to identify trends and improvement opportunities
- Serve as escalation point for complex program concerns
Family & Student Engagement
- Serve as a primary contact for families in online programs
- Conduct family orientations and communicate expectations
- Support enrollment, onboarding, and tutor matching
- Respond to scheduling questions and program concerns
- Ensure families have the tools needed for success
Tutor Recruitment, Training & Support
- Interview and onboard tutors (volunteer and paid)
- Match tutors to students based on needs and expertise
- Facilitate tutor trainings and orientations
- Support ongoing tutor development and retention
- Monitor tutor performance and provide coaching
- Build a positive and collaborative tutoring community
Data, Payroll & Administration
- Oversee attendance tracking and program documentation
- Maintain accurate student and tutor records
- Prepare weekly and monthly program reports
- Support payroll reporting and hour tracking
- Ensure timely and accurate administrative processes
- Maintain confidentiality of student and family data
QualificationsRequired:
- Bachelor’s degree preferred (Education, Social Sciences, Human Services, or related field)
- Experience in education, tutoring, youth programs, or program management
- Experience supervising staff or instructional personnel
- Strong organizational and communication skills
- Ability to manage multiple priorities independently
- Experience working with diverse student and family populations
Preferred Skills
- Experience managing virtual or online education programs
- Familiarity with high-impact tutoring models
- Experience supervising tutors or volunteers
- Strong data tracking and reporting skills
- Bilingual skills are a plus
