Role Summary
The Transaction Coordinator is responsible for guiding seller clients through the pre-listing, active listing, and under contract process, and for supporting buyer/seller transactions from executed contract through closing. This role ensures every listing is entered accurately, every disclosure and document is collected and signed on time, and every seller and buyer feels informed and supported throughout their transaction.
We are seeking a highly organized and proactive Transaction Coordinator to join our dynamic team. In this vital role, you will manage listings from pre-list through closing, ensuring a seamless experience for clients, agents, and vendors. Your attention to detail, excellent communication skills, and ability to multitask will help facilitate smooth real estate transactions while maintaining high standards of professionalism and efficiency. The Transaction Coordinator works closely with agents to keep listings and transactions moving smoothly from the moment a client is ready to work with the team through the day they close.
Responsibilities
Listing Management
- Guide seller clients through the pre-listing, active listing, and under contract process
- Ensure every listing is entered accurately into the MLS and checklists are completed on time
- Collect and track disclosures and listing documents, ensuring everything is signed on time
Transaction Coordination
- Coordinate all aspects of buyer/seller transactions from executed contract through closing, including preparing and reviewing contracts, disclosures, and closing documents
- Manage calendar deadlines and ensure all contractual obligations are met promptly
- Maintain accurate and organized files using document management software and the CRM
Communication & Client Support
- Communicate regularly with clients, agents, lenders, and escrow officers to ensure timely progress on each transaction
- Ensure every seller and buyer feels informed and supported throughout their transaction
- Provide exceptional customer support through phone communication, email correspondence, and in office within the team
Administrative & Systems
- Utilize office management tools such as Microsoft Office Suite, Google Workspace, Outlook, and productivity software to streamline workflow
- Handle data entry tasks with precision to update transaction statuses and client information efficiently
- Work closely with agents to keep listings and transactions moving smoothly
Skills & Qualifications
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, Outlook and data entry systems
- Excellent organizational skills with the ability to manage multiple transactions and listings simultaneously
- Effective communication skills, including phone etiquette and client communication expertise
- Experience with office management tasks such as filing, proofreading documents, and calendar management
- Previous clerical or administrative experience in a real estate or office environment is preferred
Pay: $35,000.00 - $40,000.00 per year
Work Location: In person
