ZT Payments is a fast-moving payment processing company looking for a sharp, organized, and personable Administrative Assistant to join our team. This is a client-facing, high-impact role where you'll be the operational backbone of our day-to-day — bridging communication between clients, banks, vendors, and our internal Risk and Underwriting teams. What You'll Do
- Serve as the first point of contact for clients, banks, and vendors — handling inquiries with professionalism and urgency.
- Own the full client follow-up cycle — proactively reaching out, tracking outstanding items, and ensuring nothing falls through the cracks.
- Collect, organize, and manage client documentation; prepare and process agreements with accuracy.
- Coordinate and schedule meetings across internal teams, clients, and external partners.
- Liaise directly with banks, vendors, and our Risk and Underwriting teams to facilitate smooth onboarding and account management.
- Support day-to-day administrative operations, including calendar management, internal communications, and record-keeping.

- Comfortable working across multiple teams and stakeholders simultaneously.
- Proficiency in Microsoft Office Suite, Google Workspace, and standard scheduling tools.
Preferred Qualifications
- Experience in the payment processing, fintech, or financial services industry.
- Familiarity with AI productivity tools (e.g. ChatGPT, Claude, Notion AI, or similar) and a comfort incorporating them into daily workflows.
- Bachelor's degree in Business Administration, Communications, or a related field.
- Prior experience with CRM systems or document management platforms.
- Understanding of merchant onboarding, banking relationships, or underwriting processes is a plus.
- Must be maximum of 20 miles from the job location.
- Long tenure in previous roles is a plus.
