Overview
The IME/CME Coordinator is responsible for managing all aspects of Independent Medical Examinations (IMEs) and Compulsory Medical Examinations (CMEs). This role serves to ensure that medical-legal cases are coordinated efficiently from referral through final billing and payment, and serves as a point of contact for attorneys, workers' compensation carriers, nurse case managers, employers, and physicians.
Duties
- Assist with coordinating and scheduling all Legal, IME, and CME appointments.
- Receive and process referrals from attorneys, workers' compensation carriers, employers, and nurse case managers.
- Obtain, organize, and review medical records and supporting documentation prior to examinations.
- Ensure physicians receive complete case files and medical record overviews in advance of scheduled evaluations.
- Track appointment status, report due dates, and case deadlines.
- Coordinate physician report completion and timely delivery to requesting parties.
- Managing invoices for examinations, reports, record reviews, depositions, and other medical-legal services.
- Monitor accounts receivable and follow up on outstanding payments.
- Reconcile payments and maintain accurate billing records.
- Maintain detailed case logs and ensure documentation is complete and accurate.
- Respond professionally to inquiries regarding scheduling, records, billing, and report status.
- Maintain HIPAA compliance and confidentiality of all patient and legal information.
- Assist with administrative projects and process improvements as needed.
Qualifications
- Associate's degree preferred.
- Minimum of 2 years of experience in medical office administration, workers' compensation, personal injury, or medical-legal coordination.
- Experience coordinating IMEs, CMEs, or similar medical-legal services preferred.
- Knowledge of workers' compensation and personal injury processes required.
- Familiarity with medical terminology and electronic health records (EHR).
- Experience with billing, invoicing, and payment tracking.
- Strong organizational, communication, and time management skills.
- Proficient in Microsoft Office and Google Workspace.
