Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team and support our daily operations. This role is vital in ensuring the smooth functioning of office activities, providing exceptional customer service, and maintaining efficient administrative processes. Duties
- Manage front desk responsibilities, including greeting visitors and directing phone calls.
- Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
- Handle scheduling tasks such as calendar management and appointment setting for staff and clients
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
- Payroll
- Support office management activities by organizing files, managing supplies, and ensuring the office environment is efficient and welcoming
- Provide customer support through clear communication via phone, email, or in person, demonstrating excellent phone etiquette and client communication skills
- Proofread documents, prepare Word processing materials, and ensure all correspondence is accurate and professional
Experience
- Previous clerical or administrative experience in an office setting is required, with a strong emphasis on office management and customer service roles
- Proven ability to handle multi-line phone systems and perform front desk duties efficiently
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
- Experience with QuickBooks or bookkeeping software is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
