Job Summary
We are seeking a detail-oriented and organized Facilities Maintenance Coordinator to oversee and coordinate the maintenance activities for our building and units. This position will be responsible for maintaining accurate records of completed and upcoming maintenance, scheduling preventive maintenance (PM), following up on work orders and service requests, and ensuring that all maintenance-related information is properly documented and up to date.
This is primarily a coordination, tracking, and administrative role. The ideal candidate does not need to perform the maintenance work directly but should have a strong understanding of building maintenance processes and be able to effectively coordinate with maintenance technicians, contractors, and vendors.
Key Responsibilities
· Maintain accurate records of completed, pending, and scheduled maintenance.
· Create and manage preventive maintenance (PM) schedules.
· Track upcoming maintenance requirements and ensure they are scheduled on time.
· Monitor the maintenance status of building systems, equipment, and individual units.
· Coordinate with maintenance technicians, contractors, and vendors regarding scheduled work.
· Follow up on work orders, service requests, inspections, and outstanding maintenance items.
· Prepare and maintain maintenance reports, logs, and documentation.
· Track maintenance history for equipment, units, and building systems.
· Identify upcoming maintenance needs and communicate them to management.
· Ensure maintenance records and schedules remain accurate and up to date.
· Assist with organizing inspections, recurring services, and required maintenance.
· Maintain a clear calendar of preventive and recurring maintenance activities.
· Communicate updates, delays, completed work, and outstanding issues to management.
· Help ensure that maintenance activities are properly documented and followed through to completion.
Qualifications
· Previous experience in maintenance coordination, facilities coordination, property management, or a related field.
· Experience working with preventive maintenance (PM) schedules and maintenance records.
· Strong organizational and follow-up skills.
· Experience preparing reports, maintaining logs, and tracking work orders.
· Ability to coordinate multiple maintenance tasks and deadlines.
· Strong attention to detail.
· Good communication skills and ability to work with technicians, contractors, and vendors.
· Basic understanding of building systems and maintenance processes.
· Proficiency with Microsoft Office, Excel, Google Workspace, or similar software.
· Ability to prioritize tasks and keep accurate records.
Preferred Qualifications
· Experience with facilities or property maintenance.
· Experience managing preventive maintenance schedules.
·
· Experience tracking maintenance for multiple units or properties.
· Bilingual English/Spanish is a plus.
