The role
We're hiring an experienced scheduling professional to own physician scheduling end-to-end. This is a 100% remote position. This is not a patient-appointment role — you will run our provider scheduling platform (QGenda), design and maintain standardized block schedules, match physician supply to measured patient demand, and keep 24/7 coverage running smoothly. You'll work closely with operations leadership and physician leaders, and your work will directly reduce last-minute coverage scrambles and improve financial performance.

What you'll do

Own QGenda. Serve as system administrator: configure and maintain tasks/blocks, rules, staff profiles, credentials, and mobile access; onboard and train providers; keep the platform accurate and trusted.

Build and maintain block schedules. Design and publish standardized shift blocks (e.g., 8-hour core blocks with 4/6/10/12-hour flex options) that cover the business 24/7, and adjust them as demand and preferences evolve.

Match supply to demand. Use demand data to place coverage where patients actually need it, identify and close chronic gaps, and flag over- and under-staffed windows before they become surge calls.

Run day-to-day coverage. Manage PTO requests and balances, shift swaps and giveaways, open-shift postings, and real-time coverage gaps and escalations.

Accommodate custom shifts. Work one-on-one with physicians to fit individual start times and preferences into the block framework wherever possible, using open shifts and adjacent-block coverage to keep things balanced.

Report and analyze. Produce weekly and monthly coverage, utilization, and supply/demand analytics for leadership; recommend schedule changes grounded in the numbers.

Maintain scheduling policy. Keep scheduling rules, weekend/holiday rotation, and coverage standards documented, current, and applied consistently and fairly.

Collaborate. Partner with operations, revenue, and physician leadership to align scheduling with clinical, financial, and growth goals.
What you'll bring (required)

3+ years of healthcare provider/physician scheduling experience (clinician schedules, call/shift coverage) — not primarily patient-appointment booking.

Hands-on experience with a physician scheduling / workforce-management platform such as QGenda (strongly preferred), or Amion, Shift Admin, UKG/Kronos, or similar.

Strong data skills — comfortable in Excel/Sheets (pivot tables, lookups) and reading staffing/utilization data to inform decisions.

Excellent written and verbal communication, and the judgment to work directly and diplomatically with physicians.

Comfort operating in a 24/7 coverage environment, including time-sensitive coverage decisions.

High attention to detail, strong organization, and the ability to manage many moving parts independently.
Nice to have (preferred)

Direct QGenda administrator experience or certification.

Telehealth and/or multi-state provider scheduling experience.

Experience designing block schedules or standardizing custom schedules.

Familiarity with BI/reporting tools (e.g., Power BI, Tableau) or advanced spreadsheet analytics.

Experience supporting a psychiatry, behavioral health, or hospital-based specialty group.

QGenda is fully adopted, accurate, and trusted by physicians as the single source of truth.

Standardized block schedules are in place, with custom shifts accommodated where needed.

Chronic coverage gaps and surge/premium-rate calls are measurably reduced.

PTO balances, swaps, and open shifts are transparent and self-service for physicians.

Leadership has reliable, on-demand supply/demand and utilization reporting.
Compensation & benefits
Base salary of $72,000–$92,000, commensurate with experience and scope, plus a performance-based bonus.
