What You'll Do
Manage Accounts Payable & Receivable functions, including:
- Create, review, and send customer invoices accurately and on time
- Monitor accounts receivable aging reports and follow up on outstanding balances
- Handle collections with professionalism, consistency, and strong communication
- Post customer payments (checks, ACH, credit cards) and apply them accurately
- Process vendor invoices, verify accuracy, and ensure timely payments
- Perform credit card reconciliations and match transactions to monthly statements
- Process checks and prepare bank deposits
Support project coordination and construction administration by:
- Prepare and submit AIA billing applications and related project billing documentation
- Manage project contracts, subcontract documentation, and change order paperwork
- Process and track lien waivers and other project closeout documentation
- Work with customer billing platforms such as Procore, Textura, Ariba, and similar systems (experience preferred)
- Request and coordinate paint samples for customers and project teams
- Order wallcovering and wall protection materials, ensuring accuracy and timely delivery
- Coordinate project documentation and communicate with project managers, customers, vendors, and general contractors to keep projects moving efficiently
Additional responsibilities include:
- Generate and maintain revenue, financial, and project reports
- Answer and direct incoming phone calls while providing excellent customer service
- Assist with general administrative duties and help keep our financial and operational processes running smoothly and efficiently

What You Bring:
- Experience in accounting, bookkeeping, or administrative support
- QuickBooks knowledge preferred
- Industry knowledge is a big plus, especially experience with AIA billing and lien waivers
