Overview
We are seeking a highly organized and adaptable Program Assistant to support the daily operations of our Maine campus. This role focuses on creating a positive student experience while ensuring the campus remains safe, functional, and well-maintained.
The Program Assistant supports the daily operations of the Maine program concentrating on positive student experiences and is responsible for the safety and functionality of the Maine Campus by communicating and coordinating with cleaning staff and outside vendors.
Primary Responsibilities
Program Assistant
- Point of contact for administrative phone coverage
- Daily communication with students, faculty and staff
- Creation and completion of immigration packets for international students
- Proctor all quizzes/exams
- Assist with the distribution of resources to students
- Assist with the student registration on campus
- Set up & breakdown rooms on campus for small groups & SPE
- Maintain models & all supplies used for standardized patient encounters and small groups
- Schedule and welcome any visiting faculty, UMHS reps, clinical staff and any additional visitors
- Coordinate and assist with Standardized Patient Encounters
- Maintain housing database on an ongoing basis
- Act as back-up standardized patient in the event an additional standardized patient is needed
- Communication with outside vendors
- Daily support for any facilities issues that come up on campus
- Work order initiation, follow through and invoicing
- The tracking and ordering of all supplies needed for the campus
- Maintain signage of the campus

Education & Experience
- High School Diploma required; Bachelor’s degree preferred
- Experience working in a higher education setting preferred
- Experience working with diverse groups of students and faculty preferred
