SCOPE OF POSITION:
The Office Administrator provides confidential and administrative support to the Senior Director of Facilities, Planning & IT, Assistant Director of IT, and the Facilities Department. This position plays a key role in supporting the day-to-day operations of the department through budget administration, financial tracking, purchasing, office coordination, and staff support. The Office Administrator also assists with departmental planning, maintains records and office systems, and serves as a liaison between the Facilities Department and other County departments.
The Facilities Operations team is committed to providing the employees and residents at Rockingham County a safe, supported, and environmentally conscious environment. The Office Administrator serves as the administrative hub of the Facilities Department, ensuring daily operations run efficiently while providing high-level support to departmental leadership. This position is responsible for coordinating office activities, preparing purchase orders and General Ledger warrants, monitoring departmental budgets and expenditures, reconciling financial data, auditing payroll overtime, and maintaining financial records. Responsibilities also include developing Requests for Proposals (RFPs), overseeing Accounts Payable, billing, purchase order processes, and electronic timecard administration, while ensuring compliance with County policies and procedures. In addition to financial and administrative responsibilities, the Office Administrator maintains contracts, purchase orders, personnel records, and office filing systems while coordinating onboarding and offboarding activities for support staff. This position serves as the department’s liaison with Human Resources and Finance, tracks required employee training, manages office supply inventory, drafts correspondence and reports, and supports the implementation of departmental protocols and long-range planning initiatives. The Office Administrator also assists with monitoring building automation systems and alarms, provides backup support to other office staff, participates in cross-training efforts, and helps maintain efficient departmental operations through strong organization, professionalism, confidentiality, and collaboration. Must be able to work hours as scheduled based on the requirements of the position and department.
- Bachelor’s degree in related field; and

Three (3) to five (5) years of professional level experience performing fiscal and/or professional accounting duties; and

Three (3) to five (5) years demonstrated supervisory skills; or

An equivalent combination of education and experience may be considered.
