We are looking for a reliable, organized, responsible, and detail-oriented individual to join our tax and accounting office as a Part-Time Front Desk, Customer Service & Bookkeeping Assistant, with the opportunity to transition into full-time employment in the future.
This is a hands-on position that combines front desk reception, bilingual customer service, administrative support, and basic bookkeeping. The ideal candidate should have previous office and customer service experience, be comfortable speaking and writing in both English and Spanish, have experience with QuickBooks, and understand basic bookkeeping and reconciliations.
The person in this position will be one of the first points of contact for our clients. They will answer phone calls, greet clients, take messages, assist with basic questions, collect payments, and help with international money transfer services. At the same time, they will assist with bookkeeping, data entry, organizing receipts and financial documents, and general office administration.
Key ResponsibilitiesFront Desk & Customer Service
- Answer incoming phone calls professionally and courteously.
- Take accurate messages and direct calls to the appropriate staff member.
- Greet clients and visitors at the front desk.
- Assist clients with basic, routine questions and refer more complex questions to the appropriate staff member.
- Communicate with clients in both English and Spanish.
- Send and respond to emails professionally.
- Follow up with clients regarding documents, information, payments, or other items as instructed.
- Assist with international money transfer services according to company procedures.
- Collect and accurately count customer payments when required.
- Maintain confidentiality when handling client and financial information.
Bookkeeping & QuickBooks
- Assist with organizing receipts, invoices, bank statements, credit card statements, and other financial documents.
- Enter or import transactions from bank accounts and credit card statements into QuickBooks.
- Assist with categorizing transactions according to established procedures.
- Assist with bank and credit card reconciliations.
- Review records for missing or inconsistent information and bring questions to the appropriate staff member.
- Maintain organized bookkeeping records and supporting documentation.
- Assist with other basic bookkeeping tasks as assigned.
The candidate should have a basic understanding of accounting and bookkeeping, including income, expenses, bank transactions, credit card transactions, and reconciliations.
Administrative & Office Support
- Perform data entry accurately.
- Organize physical and digital files, paperwork, receipts, and client documents.
- Scan, print, copy, sort, and organize documents.
- Maintain an organized front desk and office.
- Use Microsoft Word, Excel, Outlook, Teams, and other office software.
- Keep track of assigned tasks, pending items, and follow-ups.
- Follow instructions carefully and complete assigned work accurately.
- Assist with general office duties as needed.
Organization, Deadlines & Multitasking
We are looking for someone who can manage their own workload and stay on top of assigned responsibilities.
The employee will be expected to:
- Meet assigned deadlines.

- Follow up on outstanding items when necessary.
- Complete tasks without needing constant reminders.

Tax Season & Busy Periods
Our office becomes significantly busier during tax season. During these periods, the employee may be asked to assist with additional administrative and data-entry responsibilities.
Tasks may include:
- Assisting with tax-related data entry.
- Entering information from client documents.
- Making copies and scanning documents.
- Printing and organizing paperwork.
- Organizing receipts and client files.
- Collecting client payments.
- Answering phones and greeting clients while completing administrative tasks.
- Helping staff keep up with paperwork and data entry.
- Assisting with other office tasks as needed.
The ability to stay calm, organized, productive, and accurate during busy periods is important.
Office Organization & Cleaning
As part of maintaining a professional office environment, the position also includes basic daily office organization and light cleaning, such as:
- Keeping desks and work areas clean and organized.
- Mopping floors as needed.
- Light bathroom cleaning.
- Organizing supplies and paperwork.
- Keeping the front desk and common areas tidy.
- Occasionally using a small step ladder of no more than two steps to access files or supplies.
Requirements
- Previous experience in a professional office environment.
- Previous experience answering business phone calls.
- Customer service experience.
- Fluent in both Spanish and English, including speaking and writing.
- Experience with QuickBooks or similar accounting software.
- Basic understanding of bookkeeping and accounting.
- Basic understanding of bank and credit card reconciliations.
- Experience with data entry and office administration.
- Basic knowledge of Microsoft Excel and Word.
- Comfortable using Outlook and Microsoft Teams.
- Basic computer skills and ability to learn new software.
- Comfortable handling and accurately counting money.
