Overview
We are seeking a dedicated and detail-oriented Bookkeeper/Administrative Assistant to join our team. In this vital role, you will manage financial record-keeping, support daily office operations, and ensure smooth communication within the organization. The ideal candidate will possess strong organizational skills, proficiency with office management tools, and a customer-focused attitude to contribute to the continued success of our family-owned business.
Responsibilities
- Manage full-cycle Accounts Payable: enter payables, record credit card transactions, and perform weekly check runs using ACH/bill pay.
- Managing relationships with external vendors and service people. Monthly reporting to vendors.
- Manage vendor files, including maintaining W-9 information and filing annual 1099's.
- Daily cash and bank reconciliations. Prepare bank deposits and wire transfers.
- Prepare and process bi-weekly payroll and payroll tax payments.
- Prepare payroll quarterly and annual tax returns. Prepare year-end W-2/W-3 tax forms.
- Prepare and file yearly workers comp audit.
- Prepare CDTFA Sales & Use Tax filings
- Perform journal entries, generate financial reports, and maintain accurate accounting records.
- Assist with calendar management, appointment scheduling, and correspondence
- Ensure office supplies are stocked and maintained; oversee general clerical responsibilities
- Collaborate with team members to improve administrative processes and enhance overall efficiency
- Providing logistical support for meetings and events.
- Coordinate human resource paperwork, such as new employee set-ups, health benefit renewals, and update office and board policies and procedures.
- Generate and prepare monthly sales reports for meetings.
- Managing office equipment and supplies.
- Maintain general office organization and functionality.
Inventory
- Enter new inventory using EDGE and conduct yearly physical inventory.
- Maintain overall inventory control and returns to vendors.
Requirements
- Proven experience in office administration or clerical roles within a professional setting
- Proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace (Quickbooks Online experience is a plus.)
- Strong computer literacy and organizational skills; ability to manage multiple tasks efficiently
- Knowledge of bookkeeping practices, data entry procedures, filing systems, and calendar management
- Demonstrated ability to handle confidential information discreetly and professionally
