We have a great opportunity for an entry level Administrative and Materials Coordinator at our main office in Sumter, SC. This exciting opportunity includes the following duties:
Provides administrative support to aid in the efficient operation of the front office
- Contacts vendors to follow up on delivery of parts, raw materials, and equipment
- Greets and directs office visitors and manages Nova’s visitor and contractor logs.Responds to and/or directs phone calls or voice messages as required
- Monitor & update carrier arrivals using daily traffic schedule, driver sign in, site gate access and notification to operations team upon entry
- Receives incoming mail or ordered products/ packages and distributes to the requestor or recipient.
- Coordinates outgoing mail and packages from the office
- Ensures that office equipment & site utilities are in proper working order. Contact repair if service is needed
- Orders and stocks office & breakroom supplies as needed
- Maintain lockbox and purchases & records
- Request and maintain annual & bi-annual renewal documents for vendors
Coordinates inbound materials for plants and distribution sites
- Submit purchase orders and coordinate traffic schedule with supplier-delivered orders. Coordinate details and confirm with internal stakeholders as necessary
- Maintain receiving paperwork and inventory records using internal web-based programs
- Coordinate all drop ship orders and external customer inventory on site
ADMINISTRATIVE:
- In cooperation with HR, schedule and facilitate on site random drug screening
- Support employee communication
- New employee Day 1 Greeting and I9 form completion
- Provide support for Company meetings set up and coordination: E.g. Employee meetings, Board of Director and Leadership
- In collaboration with HR, be the main point of contact and coordinate Holiday and other celebrations, community outreach and volunteer efforts, wellness initiatives, etc.
- Demonstrate a commitment to high personal and professional ethical standards and align decisions with Nova's values
- Build and maintain open, honest working relationships with others to set goals, resolve problems and make decisions that enhance organizational effectiveness
We are looking for the following qualifications:
Bachelor’s degree in Business or other related field (preferred) or equivalent experience in a customer relationship role
Ability to interact effectively, professionally, and tactfully with all levels of employees and external vendors, contractors, customers, and logistics carriers
Proficient in Microsoft Office products
Excellent communicator
Excellent organizational and time management skills
Ability to maintain confidentiality when dealing with sensitive information.
Ability to articulate ideas and information verbally and in writing in a professional, clear and concise manner
Attentive listening skills
Ability to work well under pressure and manage competing demands effectively in a fast paced work environment
Ability to handle multiple tasks simultaneously remaining calm under pressure.
Ability to follow up and follow through with assigned work tasks on a timely basis
Ability to take the initiative to carry out assigned duties with general direction

Pay: $19.00 - $24.00 per hour
