The Church Administrative Coordinator manages and supports the smooth operation of the church office through administrative, communication, scheduling, and operational assistance. Serving as a welcoming contact for members, visitors, staff, ministry leaders, and community partners, this role helps keep records, calendars, communications, events, and office systems organized and accurate.
Key Responsibilities
· Manage daily church office operations, including phone calls, emails, mail, reception, supplies, and general administrative support.
· Maintain the church calendar, schedule meetings, coordinate room reservations, and support worship services, ministry programs, and special events.
· Prepare, proofread, and distribute church communications such as bulletins, newsletters, announcements, letters, reports, and meeting materials.
· Maintain accurate church records, files, databases, membership information, attendance records, registrations, and ministry documentation.
· Support pastors, staff, ministry leaders, committees, and volunteers with scheduling, correspondence, event logistics, and administrative follow-up.
· Assist with volunteer coordination, including sign-ups, schedules, reminders, onboarding materials, and communication with ministry teams.
· Provide basic financial and bookkeeping support as assigned, such as processing invoices, check requests, receipts, deposits, reimbursements, and budget tracking documentation.
· Coordinate logistics for church events, classes, meetings, outreach programs, weddings, funerals, and facility use requests.
· Maintain confidentiality and handle sensitive information with professionalism, discretion, and care.
· Help improve office systems, workflows, forms, filing practices, and communication processes to support efficient ministry operations.
· Perform other related duties as assigned in support of the church’s mission and ministries.
Qualifications
· Prior experience in office administration, coordination, communications, nonprofit administration, or a related role preferred.
· Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
· Excellent written, verbal, and interpersonal communication skills.
· Proficiency with Microsoft Office, email, calendars, databases, and general office technology; experience with church management software is a plus.
· Ability to work independently, take initiative, solve problems, and collaborate well with staff, volunteers, and congregants.
· Professional, welcoming, service-oriented demeanor with respect for people from diverse backgrounds and life experiences.

Preferred Skills and Experience
· Experience working in a church, faith-based organization, school, nonprofit, or community service setting.
· Knowledge of basic bookkeeping, donation processing, accounts payable procedures, or budget documentation.
· Experience coordinating events, managing volunteers, preparing meeting agendas, and taking minutes.
· Familiarity with Canva, social media scheduling, website updates, livestream support, or digital communication tools.
Work Schedule and Expectations
The schedule may include regular office hours as well as occasional evenings, weekends, worship services, meetings, or special events. The coordinator is expected to work with reliability, professionalism, flexibility, and a ministry-minded approach to service.
Pay: $23.51 - $30.00 per hour
