The Administrative Assistant is the operational backbone supporting multiple departments at SEA, under the direction of the Chief Advancement Officer, shifting fluidly between tasks and priorities as the work demands. This behind-the-scenes role makes everything on the front end run smoothly.
DESCRIPTION
- Perform mail merges and manage outgoing mailings from preparation to distribution.
- Format, proofread, and finalize reports, documents, and printed materials (including nametags and event signage).
- Provide logistical and on-site support for organizational events, including approximately 4–5 weekend events per year.
- Enter, update, and maintain contact records in HubSpot, Blackbaud, and AirTable with accuracy and care.
- Handle sensitive organizational and constituent information with professionalism at all times.
- Support general administrative functions across departments, including daily mail processing and occasional local errands.
QAULIFICATIONS
- High school diploma or equivalent.
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams).
- Working knowledge of — or genuine willingness to learn — HubSpot, Blackbaud, AirTable, and mail merge workflows.
- Strong attention to detail in data entry and document formatting.
- Demonstrated discretion with confidential information and ability to manage shifting priorities across multiple teams.
- Must successfully complete a background check (required due to work in proximity to minors).
