The Eecutive Assistant provides high-level comprehensive administrative, operational, and fiscal support to department leadership and serves as the primary point of contact for administrators, staff, schools, and the community. This role manages confidential communications, comple projects, and district-wide initiatives; coordinates meetings, professional development, and eecutive reporting; and supports Board of Education, Superintendent, and eecutive cabinet activities. The position also performs budgetary, accounting, and payroll timekeeping functions, maintains accurate records in district systems, and develops efficient processes to support effective department and district operations while ensuring professionalism, confidentiality, and compliance.

Provide administrative support by identifying and prioritizing incoming information and requests, serving as the department’s primary contact person for administrators, School Office Managers, supervisor’s direct reports, other departments, staff, and community. Develop and promote good relations as a department resource with respect to district and school issues, policies and procedures. Maintain a safe and secure working environment.

Prepare, research and gather information for special projects and other related materials and documents that may be of a highly confidential nature. Coordinate projects: comply, synthesize, analyze, write and format reports, forms, submissions and other requested data.

Coordinate administrative duties, including but not limited to: managing phone calls, answering inquiries, following through on requests, solving non-routine problems, scheduling appointments, maintaining calendars; processing mail; coordinate logistics of meetings, conferences and workshops Attend meetings to participate and/or take notes, prepare agendas and announcements. Create, administer, track attendance and report Professional Development.

Draft confidential correspondence based on district policies/procedures or verbal direction. Compile and disseminate information for district-wide use, which may include updating the website and creating or writing responses and reports to the Board of Education.
Coordinate the collection of pertinent data in the preparation of various presentations, responses, and reports to the Board of Education, Superintendent, and e- ecutive cabinet administrators. Manage, process and track department and district-wide programs and projects.

Perform budgetary, accounting, and payroll support functions, including screening and reconciling invoices and purchasing card transactions; preparing required documentation and reports for department leadership and Financial Services; processing purchase orders for equipment, food, and supplies; maintaining accurate bookkeeping records in the district financial system; managing payroll timekeeping and compiling time and attendance reports, including stipends and supplemental pay; tracking and recording translation requests; and communicating mileage reimbursement updates while ensuring accurate and timely submission of required paperwork.

Anticipate and develop new systems and procedures for creating efficiencies. Oversee department office equipment repairs and supplies as needed.

Required:

High school diploma plus 2 years of additional education or equivalent training required
Minimum of five years eperience in general office occupations and computer e- perience
OR
Minimum of four years e
- perience as an administrative assistant.
