The Role
We are looking for a service-oriented Front Office Administrative Assistant with great interpersonal skills and attention to detail to provide administrative support to the school’s front office.
Position Summary
The Main Office Administrative Assistant manages the organization and logistics of main office operations, including student transportation. This role requires an exceptionally organized, empathetic, and detail-oriented professional who can multitask in a fast-paced environment, solve logistics challenges with urgency, and maintain a warm, welcoming atmosphere.
Key Responsibilities
1. Main Office Operations
- Support the school receptionist as the primary point of contact for the school; greet visitors, answer phones, route calls, and respond to public inquiries with a professional, helpful, and welcoming demeanor.
- Maintain a clean, organized, and secure main office environment.
- Manage daily student attendance records, tracking tardies, early dismissals, and absences in the Student Information System (SIS).
- Collaborate with school leadership on tasks and communication related to EVCS attendance policies.
- Assist with the distribution of school mail, deliveries, and internal communications to staff and families.
- Provide administrative support to the Building Principal and leadership team as needed (e.g., filing, copying, drafting correspondence).
2. Transportation Coordination & Logistics
- Serve as the primary liaison between EVCS, families, the Buffalo Public Schools (BPS) Transportation Department, and independent bus vendors.
- Coordinate, update, and maintain accurate daily bus rosters, routes, and student transportation assignments.
- Manage the daily dismissal logistics, ensuring students are safely, accurately, and efficiently loaded onto the correct buses or directed to parent pick-up.
- Act with absolute urgency to resolve daily transportation issues, such as delayed buses, or inclement weather disruptions.
- Proactively communicate transportation updates, delays, or changes to parents and school staff via text, email, or phone alerts.
- Process and submit annual BPS transportation applications and required paperwork for eligible students, ensuring strict adherence to city and state deadlines.
3. Data Integrity & Compliance
- Ensure all student information and transportation data in the school's database is accurate and updated in real-time.
- Manage the the collection and processing of school forms and information (e.g., change of address, emergency contact cards, do-not-photo permissions and custody records).
- Maintain all student files and records in compliance with FERPA regulations and fulfill records requests in a timely manner.
Qualifications & Skills
- Education: High School Diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Experience: Minimum of 2–3 years of experience in an administrative assistant, secretarial, or customer service role (experience in a school or district setting is highly preferred).
- Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel), Google Workspace, and experience navigating Student Information Systems (e.g., PowerSchool, Infinite Campus).
- Core Competencies:
- The "Air Traffic Controller" Mindset: Ability to stay calm, focused, and polite under pressure during chaotic times of the day (like morning arrival and afternoon dismissal).
- Strong Communication: Exceptional verbal and written communication skills.
- Problem-Solving: Ability to think on your feet and resolve logistical issues independently and urgently.

Pay: $38,000.00 - $42,500.00 per year
