Responsibilities
- Greet visitors, prospective tenants, and vendors with professionalism and enthusiasm, providing exceptional customer service.
- Manage leasing inquiries via phone, email, and in person, guiding prospects through the application process and explaining lease terms.
- Schedule property tours, highlighting features and benefits to upsell available units effectively.
- Prepared application packets for submission to the property manager for review.
- Ensure compliance with landlord-tenant law and Fair Housing regulations.
- Maintain accurate data entry in property management software, update tenant records, rent payments, and maintenance requests diligently.
- Assist in marketing efforts by promoting available units through various channels; support sales initiatives to maximize occupancy rates.
- Handle conflict management situations professionally, resolving tenant concerns promptly while adhering to legal standards.
- Organize filing systems for legal documents, lease files, and correspondence; ensure confidentiality at all times.
- Support office administrative tasks including phone etiquette, data entry, filing, and general office organization to ensure operational efficiency.
Experience
- Proven administrative experience within property management or real estate environments preferred.
- Familiarity with LIHTC (Low-Income Housing Tax Credit), Section 8 housing programs, or other subsidized housing initiatives is highly desirable.
- Experience working with property management software such as Yardi, AppFolio or Rent Manager is desirable.
- General knowledge of landlord-tenant law, Fair Housing regulations, and legal administrative procedures is required to ensure compliance.
- Strong customer service skills with the ability to upsell units and negotiate lease terms confidently.
- Previous experience in sales or leasing roles that involved conflict resolution and contract management is advantageous.
- Excellent organizational skills with attention to detail in data entry, filing systems, and record keeping.
