We are seeking a dynamic and highly organized individual to serve as the Assistant to the Director of Operations. Duties
- Manage and coordinate calendar appointments, meetings, and travel arrangements for the Director of Operations
- Serve as the first point of contact at the front desk, greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Provide comprehensive office management support, including filing, data entry, and maintaining confidential records
- Assist with bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
- Handle client communication via phone and email, ensuring timely responses and excellent customer service
- Support clerical functions such as proofreading documents, organizing files, and managing office supplies
- Facilitate effective communication within the team by scheduling meetings, preparing agendas, and taking detailed notes
- Maintain organized digital and physical filing systems to ensure quick access to important documents
- Perform general administrative duties such as typing correspondence, managing calendars, and supporting personal assistant responsibilities
Experience
- Proven office management or administrative experience in a professional setting
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data entry skills
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with keen attention to detail and accuracy in proofreading and data handling
- Bilingual abilities are a plus for effective client communication in diverse environments
- Prior experience handling multi-line phone systems and practicing proper phone etiquette
- Demonstrated ability to handle confidential information with discretion and professionalism
- Strong time management skills with the ability to prioritize tasks efficiently
- Personal assistant or executive support experience is beneficial but not required; a proactive attitude is essential
