Position Summary
The Front Office Secretary is responsible for but not limited to creating a positive first impression by providing exceptional customer service to employees, applicants, customers, and visitors. This position serves as the first point of contact for the Company and supports the daily operations of the office through administrative assistance, front desk management, and coordination with the Human Resources, Payroll, and Operations teams. The ideal candidate is friendly, professional, highly organized, and committed to maintaining a welcoming environment while handling confidential information with accuracy and discretion in a fast-paced workplace
Essential Functions and Responsibilities
· Greet employees, applicants, customers, and visitors with a positive, professional, and welcoming attitude.
· Answer and direct incoming phone calls promptly and courteously while providing excellent customer service.
· Assist employees and visitors by answering questions or directing them to the appropriate department.
· Maintain a clean, organized, and professional reception area.
· Provide administrative support to Human Resources, Payroll, and other departments as needed.
· Assist with scheduling appointments, meetings, and conference room coordination.
· Receive, sort, distribute, and prepare incoming and outgoing mail, including payroll checks and confidential documents.
· Maintain office supply inventory and ensure supply areas remain organized and fully stocked.
· Assist with employment applications, filing, document preparation, expense receipt organization, and other administrative projects.
· Maintain confidentiality of employee and company information at all times.
· Perform other duties as assigned.
Qualifications and Skills
· High school diploma or GED required.
· Outstanding customer service and interpersonal skills with a genuine desire to assist others.
· Positive attitude, professional appearance, and friendly demeanor.
· Strong verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Ability to multitask while maintaining accuracy in a fast-paced environment.
· Strong time management and problem-solving skills.
· Ability to remain calm, courteous, and professional during busy or stressful situations.
· Ability to work independently while collaborating effectively as part of a team.
· Proficiency in Microsoft Office (Outlook, Word, Excel) and the ability to quickly learn new software.
· Ability to handle confidential information with discretion and professionalism.
Bilingual (Spanish) preferred
