POSITION SUMMARY
The Program Director is responsible for supervisory oversight, development, and management of shelter and job training. Ensure staff are trained to offer appropriate services. Works collaboratively with the senior management team to integrate cross-program activities and functions. Implement organizational vision as established in the Strategic Plan to ensure ongoing programmatic excellence and develop and execute program outcome goals, following best practices. Ensures confidentiality with VAWA and HIPAA Compliance with all services rendered.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Operational Management: Oversee daily shelter operations, ensuring a safe, clean, and supportive environment for residents or animals, including intake, care for residents and animals in residence and job training. Directly manages Shelter including Animal Kennels and Community Engagement Space (Training Room, Group room, Computer lab, Play Area/Art space), and Job Trainees assigned to our Safelight Resale Store and Dandelion Cafe. Budget and Resource Management oversight for job trainee hours, shelter supplies and activities. Oversees schedule for shelter and spaces for the group meeting/training spaces.
· Supervision: Hire, train, and manage staff and interns, providing guidance, performance evaluations, and scheduling in managed programs. Encourages and provides training to support staff to guide client success. Ensure staff and student interns assigned to the program have an HR folder maintained with proper supervision notes and weekly audits of notes, files and client database. Oversight and training with team to ensure assignments are completed.
· Documentation: Maintain for all meetings led typed minutes and agendas including outcomes and next steps assigned. Oversees scheduling, oversight and management of include HR files for staff and student interns, evaluation and implementation of services. Weekly auditing client files and databases to ensure client needs are met, activities are monitored, and proper interventions are utilized for resident successful exiting. Client files maintained for job trainees assigned. Managing documentation, budgeting, and reports for maintaining compliance with all contracts and grants relevant to programs assigned. Monthly program reporting, client database Osnium auditing and file auditing required.
· Reporting Standards: Prepare and present reports on shelter activities, outcomes, and needs as required to include monthly program meeting. Updates and manages program manuals/guides to reflect programs offered.
· Client Care: Respond to crises and emergencies in a calm and effective manner. Implement and promote initiatives that support the mental and physical well-being of clients. Facilitate resident access to employment, housing, mental health, healthcare, and engagement activities especially onsite for care and support groups. Direct case management of job trainees assigned and ensure HR documentation is completed accurately and submitted for reimbursement to get to them timely.
· Compliance and Safety: Ensure adherence to all relevant laws, regulations, and organizational policies, including health and safety standards. Ensure the shelter facility is maintained to a high standard of safety and cleanliness. Reporting maintenance and needs for spaces including safety and security.
· Policies and Procedures: Implement policies, procedures, and programs tailored to the needs of shelter residents. Ensure updated and implement procedures for shelter and job training guide and staff trained on these. Ensure compliance with Personnel manual and Operations manual for those supervised.
· Community Engagement: Support the shelter’s mission and build community partnerships. Coordinate with external agencies and organizations to provide comprehensive services to residents. Serve as both the agency and client advocate to intercede on behalf of client to ensure equity and appropriate services. Develop and maintain relationships with community partners and represent Safelight in the community to communicate Safelight’s program work and needs. Maintains knowledge of local community resources and ensures clients can access needed services via on-site service provision and community providers.
· Duties: Performs other related duties as required to include the flexibility to work occasional extra hours on nights and/or weekends to meet with clients that are unavailable during the day and/or to complete assignments. Attends required training and meetings, community events and training as part of the position with staff and partners. Scheduled on-call for shelter as scheduled.
REQUIRED QUALIFICATIONS:
· Accredited University master’s degree in social work, counseling, or a comparable human service degree obtained.
· Minimum requirement: three years plus working in a 24/7 shelter program.
· High-level skills in office suite and reporting databases maintained for job for data evaluation and analysis. Computer literate with Microsoft Excel, Word, and PowerPoint.
· Ability to express ideas clearly, both verbally and in writing following agency policies and procedures.
· Possess good interpersonal skills with the ability to build rapport with attention to maintaining appropriate boundaries and ethics.
· Ability to think independently, work as a team, and make ethical decisions.
· Ability to listen and communicate effectively. Ability to solve problems by utilizing critical thinking skills.
· Ability to stand, stoop, and sit for long periods.
· Ability to lift up to 15 pounds without assistance.
· Must possess and maintain a valid driver’s license throughout employment.
