General Description
The Ministry Assistant of Community Ministry, Global Outreach & OTR Campus will work closely with the Pastor and Ministry Director of Community Ministry, Global Outreach & OTR Campus to provide administrative leadership to develop and deepen Hyde Park Community's relationship with community and global partners, engage volunteers, and further the ministries at the OTR Campus. The Ministry Assistant will provide administrative organization, communication, program assistance, event logistics and follow up for all Mission and Outreach and OTR Campus initiatives. The Ministry Assistant for Community Ministry, Global Outreach & OTR Campus will be a member of the Mission and Outreach and OTR Campus Team and will report to the Pastor of Community Ministry, Global Outreach & OTR Campus.

Responsibilities
Mission and Outreach
- Provide administrative support to the Pastor and Program Director of Mission and Outreach & OTR Campus, along with lay leaders, to fulfill the missional priorities of the Church.
- Attend Mission and Outreach Team meetings, serving as the secretary of the team.
- Organize annual reports and funding requests from local and global partners.
- Provide administrative support for receiving, processing, and follow-up regarding donations, reimbursements, and missional grants to our community and global partnerships. Maintain accurate financial records and submit payment requests and reports.
- Create and manage participant registration/sign-ups for mission and outreach initiatives (ex. Super Serve Saturday, The Center for Respite Care dinner, Found House activities and hosting, etc.), assisting registrants and collecting funds as needed. Serve as point check in person for these events as needed.
- Create and manage participant registration/sign-ups for OTR Campus (ex. classes, workshops, volunteer opportunities, special events, etc.), assisting registrants and collecting funds as needed. Serve as point check in person for these events as needed.
- Provide administrative support for current and emerging Community Ministry, Global Outreach, and OTR Campus ministry initiatives.
- Provide administrative support for Community Witness events.
- Keep accurate records of engagement of Mission and Outreach opportunities and OTR Campus including adding and updating contacts in the database and provide reports as needed.
- Work with the Pastor of Mission and Outreach and OTR Campus to organize and execute the administrative tasks to implement intergenerational mission trips (at least annually) for the purpose of deepening relationships with our global mission partners.
- Provide administrative support for United Women in Faith, including coordination of logistics, communication, scheduling, and documentation in collaboration with UWF leadership and staff.
- Serve as day-to-day liaison to the following departments:
- Communications department on print and online projects.
- Facilities team for room reservations and set up.
- Faith Formation to ensure up to date Safer Sanctuaries paperwork and annual training for volunteers in Mission and Outreach and OTR Campus.
- Work with the Communication Team to implement a communication plan of mission and outreach and OTR Campus initiatives that highlight upcoming opportunities and follow up with communicating the impact, including, but not limited to: News & Happening announcements, social media platforms, website, magazine, email, oral, written and visual communication.
- Coordinate the calendar of Mission and Outreach opportunities and OTR Campus including room reservation, and maintenance requests.
- Serve as liaison and point of contact to outside groups utilizing the Over-the-Rhine or Hyde Park Campus for mission/outreach/community groups, including paperwork needed from groups and inputting room reservations and maintenance/set up requests.
Summer Impact
- Serve as the first point of contact for inquiries about Summer Impact.
- Create and manage group registration for Summer Impact assisting registrants with paperwork and collecting funds.
- Coordinate room scheduling and reservations for visiting groups at Hyde Park and OTR Campuses.
- Assist Program Director with program logistics, ensure schedules are up-to-date in the large church calendar, housing, and on-site operations for Summer Impact teams and participants.
- Work with Communications Team to implement an effective promotional campaign (district and conference announcements, social media, website) inviting teams from churches to participate in Summer Impact.
Other duties as assigned.
Qualifications and Skills
- Bachelor Degree or relevant experience
- At least 3-5 years of non profit administrative experience
- Demonstrated passion for Mission and Outreach and Urban ministry
- Ability to articulate the mission and ministry of HPC in a clear and concise manner
- Proven ability to communicate with multiple audiences
- Demonstrated experience in budget management, including oversight of multiple budgets, detailed line-item tracking, and accurate assignment of expenses across accounts.
- Excellent organizational skills, attention to detail and accuracy and ability to manage multiple demands
- Proven administrative leadership in ministry teams
- Proficient technology skills including, but not limited to Adobe Creative Suite, Microsoft Office (Word, Excel, Powerpoint), Google Drive, Canva, and Wordpress
Accountability
- Serve as a committed part of the Mission and Outreach/OTR Campus staff/lay team and report to the Pastor of Community Ministry, Global Outreach & OTR Campus as noted in the Organization Chart.
- Work in alignment to the mission and values of Hyde Park Community UMC & The United Methodist Church as outlined in the Strategic Plan, Inclusivity Statement, and Employee Handbook.
