Bay Wealth Legal, a busy boutique estate planning firm, is seeking two full-time Legal Administrative Assistants to join our team in San Mateo. Our attorneys work closely with business owners, families, individuals, and professionals throughout the Bay Area on estate planning, wealth transfer strategies, probate matters, and trust and estate administration. This is an in-person position offering the opportunity to gain meaningful experience in a collaborative, client-focused legal practice.

Qualifications
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel, as well as Adobe Acrobat, Foxit, or similar document management software.
- Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Exceptional attention to detail and commitment to producing accurate, high-quality work.
- Strong written and verbal communication skills, with the ability to interact professionally with clients, attorneys, and colleagues.
- Motivation to learn and develop an understanding of estate planning, probate, trust administration, and related legal concepts.
- Ability to work independently, take initiative, and follow through on assigned projects and responsibilities.

Responsibilities
- Answer and direct incoming phone calls, welcome visitors, schedule meetings, and provide general administrative support to attorneys and clients.
- Coordinate the client intake process, including scheduling consultations, preparing engagement letters, gathering documentation, and establishing new client files.
- Communicate promptly and professionally with clients throughout the course of their legal matters.
- Assist with data entry and information management using Excel, PracticePanther, HotDocs, and other firm software systems.
- Maintain tracking systems and client matter lists to monitor communication, scheduling, and project status.
- Prepare materials for attorney meetings, signing conferences, and client appointments.
- Assemble estate planning and LLC document packages, including executed documents and client correspondence.
- Draft routine correspondence and legal support documents, including cover letters, engagement agreements, conflict waivers, and client communications.
Requirements and Preferences
- Bachelor's degree preferred.
- Prior experience in a legal, professional services, administrative, customer service, or client-facing environment is preferred.
- Experience in a law firm is a plus but not required.
- This is a full-time, in-person position based in our San Mateo office.
Compensation and Benefits
- Salary range: $65,000–$85,000 annually, commensurate with experience.
