Position Overview:
The Front Office Coordinator is the first point of contact for clients, visitors, and callers. As the pivot point of the office, this role anchors the flow of each day, coordinating communication, managing calendars, and shaping the client experience from the moment they arrive.
The ideal candidate is friendly, organized, calm under pressure, and proactive. This role is perfect for someone who thrives in a structured environment, values professionalism, and shows up consistently with a positive, solutions-focused attitude.
Duties and Responsibilities:
Front Desk and Telephones
- Manage a busy front desk with calm, confidence, and efficiency.
- Answer all calls promptly and professionally.
- Greet callers with a pleasant, helpful tone and direct them appropriately.
- Summarize and relay information from callers to the appropriate individuals.
Calendar & Conference Room Management
- Manage all conference room calendars with accuracy and attention to detail.
- Proactively monitor scheduling conflicts and resolve them before they impact staff or clients.
- Adjust calendars as needed to accommodate the needs of the firm, attorneys, paralegals, and clients.
- Ensure conference rooms are prepared, cleaned, and ready for each meeting.
- Notify Administrative Management of any scheduling issues that require escalation.
IT and Printer Management
- Prepare Smartboards and conference room technology for all Zoom/Teams meetings.
- Assist staff with simple computer, printer, copier, and connectivity issues (e.g., monitors, docking stations, basic troubleshooting).
- Set up new workstations, including all computer equipment and necessary items for new employees.
- Manage day-to-day computer issues and escalate to the IT support when needed.
- Manage printer/copier functionality and escalate issues to the printer service provider when necessary.
Office Maintenance & Proactive Tasks
- Assist attorneys and paralegals with tasks.
- Stock bathrooms, conference rooms, and business cards.
- Organize electronic and physical files.
- Support ongoing administrative, transactional, and litigation projects.

Requirements:
- High school diploma; some college coursework preferred.
- Bilingual in English and Spanish.
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Prior experience in a professional office setting; legal experience preferred but not required.
- Ability to maintain confidentiality and always demonstrate professionalism.
- Consistent punctuality and reliability are essential for success in this role.
