Your Impact:
The Office of Human Resources is seeking a Civil Service Assistant to join the Civil Service Management Unit. Reporting to the Director of Civil Service Management, this unit is responsible for overseeing the strategy and efficiency of the Civil Service Management Team. Key functions include resolving operational issues, managing new hire and civil service onboarding, and coordinating promotions, salary adjustments, and employee transfers.
This team is currently operating under significant demand, making this a high-impact role. The selected candidate will play a direct role in improving hiring efficiency, supporting employee onboarding, and facilitating internal mobility. Strong performance in this position will have an immediate and visible impact on the team’s effectiveness.
Your Role:
A Civil Service Assistant will collaborate closely with the Director of Civil Service Management and Civil Service Generalists to help employees navigate the civil service process. This work directly supports HPD’s provisional reduction plan, as well as the agency’s broader goals around career mapping and employee retention.
We are seeking a dependable, detail-oriented individual who can work independently in a fast-paced HR environment. This role is essential to maintaining hiring timelines, supporting employee movement, and ensuring that Civil Service processes operate efficiently.

Your Responsibilities:
Primary responsibilities will include but will not be limited to:
· Independently manage administrative and operational tasks that support civil service functions
· Track and support onbarding processes with a high degree of accuracy and follow-though
· Coordinator logistics and communications for civil service hiring pools.
· Proactively notify employees of civil service opportunities and maintain tracking systems
· Generate, review and maintain report from HRIS databases
· Maintain organized records and provide file room coverage as needed
· Take on additional assigned and troubleshoot issues as they arise.

· Strong reliability- missed details or drpped tasked directly impact hiring and operations
· Ability to manage multiple priorities and shift quickly as needs change
· High attention to detail and commitment to accuracy
· Clear and professional written and verbal communication skills
· Sound judgment and problem solving ability
· Interest in Human Resources, public administration or workforce operations
· Working knowledge of Microsoft Excel (tracking, basic reporting)
· Experience with Microsoft Work, including mail merge
· Familiar with HR systems and data tracking tools
