Office Assistant / Administrative Coordinator

Liberty Transit LLC is a growing trucking and transportation company looking for a highly organized, dependable, and people-oriented Office Assistant / Administrative Coordinator to join our team.
This position will work closely with company ownership and our accounting/administrative team to help keep day-to-day office responsibilities organized, make sure important deadlines are not missed, and follow up on tasks involving drivers, equipment, safety, and company records.
We are looking for someone who takes initiative, communicates well with people, pays attention to details, and is comfortable keeping track of many different responsibilities at the same time.
Responsibilities
- Maintain calendars, reminders, deadlines, and follow-up lists for management and office staff.
- Schedule and track required driver training and make sure drivers complete assigned requirements on time.
- Assist with new driver onboarding, paperwork, documentation, and follow-up.
- Help coordinate and track random drug and alcohol testing and other required compliance items.
- Maintain reminders and records for vehicle maintenance, inspections, registrations, and other equipment-related deadlines.
- Help maintain the company’s accident registry, incident documentation, and related administrative records.
- Follow up with drivers and employees when documents, training, signatures, or other information is needed.
- Organize digital and physical files so documents can be easily located when needed.
- Assist ownership and accounting with administrative projects, emails, scheduling, data entry, and other day-to-day needs.
- Help improve office organization by creating checklists, reminders, recurring schedules, and better processes.
- Communicate professionally and respectfully with drivers, employees, customers, vendors, and outside partners.
- Assist with other administrative duties as needed.

- Is comfortable using computers, email, calendars, spreadsheets, and online systems.
- Is willing to learn trucking, safety, and compliance requirements.
- Can identify when something is falling behind and bring it to management’s attention.
Experience in trucking, transportation, safety/compliance, HR, accounting support, or office administration is helpful but not required. We are willing to train the right person who is organized, motivated, and willing to learn.
