Overview
We are seeking a dynamic and highly organized Office Administrator to join our team. This vital role ensures the smooth and efficient operation of our office environment, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will bring a proactive attitude, excellent communication skills, and a passion for maintaining an organized workspace. In this role, you will be the backbone of our administrative functions, helping us deliver outstanding service and operational excellence every day.
Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate phone systems to handle incoming calls efficiently and route messages accurately with a positive attitude
- Perform data entry, proofreading, and document management tasks with precision and attention to detail
- Provide exceptional customer service by assisting clients or patients in person or over the phone, ensuring their needs are met promptly
- Help process new hire paperwork
- Assist in payroll process and accounts payable
- Respond to incoming calls with excellent customer service
- Facilitate new employee onboarding and orientation
- Process vendor invoices
- Assist in customer billing and collection of past due accounts
- Assist in contract management and provide support to VP, Ops. Manager, Project Managers, and Estimators, as needed
- Handle clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies inventory
- Assist with office management duties to optimize workflow, including organizing meetings and managing office equipment maintenance
Requirements
- Must have at least 1 years' experience in office administration
- Must be a self-starter with strong multitasking abilities
- Demonstrates adaptability and the ability to thrive in a fast-paced, changing environment.
- Ability to work effectively within a team environment
- Displays excellent verbal and written communication skills
- Ability to read, write and speak both English and Spanish
- Strong customer service skills
- Exhibits robust organizational skills and attention to detail
- Possesses critical-thinking and problem-solving skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Demonstrated ability to manage multiple priorities efficiently through effective time management
- Phone etiquette standards
- Ability to perform data entry accurately while maintaining high attention to detail
