Responsibilities
- Oversee daily office operations, including managing multi-line phone systems and front desk duties to ensure seamless communication and customer service
- Maintain organized filing systems, manage calendars, and coordinate appointments using productivity software such as Microsoft Office and Google Workspace
- Handle data entry tasks accurately, including invoicing, billing, and bookkeeping using QuickBooksOnline and Housecall Pro
- Provide exceptional customer support by answering inquiries, directing calls with proper phone etiquette, and assisting clients or visitors professionally
- Manage office supplies inventory, process purchase orders, and ensure the office environment remains efficient and welcoming
- Support bookkeeping activities by reconciling accounts, preparing financial reports, and maintaining precise records of transactions
- Assist with administrative tasks such as proofreading documents, scheduling meetings, and supporting personal assistant duties as needed
Experience
- Proven experience in office management or administrative roles with a strong background in clerical tasks and customer service
- Demonstrated proficiency with bookkeeping software like QuickBooks and productivity tools including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Experience handling multi-line phone systems and front desk responsibilities in busy office environments
- Strong organizational skills with the ability to prioritize tasks efficiently while maintaining high productivity levels
- Data entry accuracy, and attention to detail are essential for success in this role
