Position Summary
We’re looking for someone who knows cannabis, is highly organized, and wants to grow their marketing experience.
You do not need a marketing degree or years of marketing experience. You do need to understand the cannabis industry and be comfortable working with dispensaries, brands, products, promotions, inventory, distribution, and the fast-paced environment that comes with them.
The Marketing Coordinator works directly with the Marketing Director and creative team to coordinate marketing projects for Mainstage and its affiliated companies, keeping projects organized and moving from start to finish.
This role gathers the necessary information, prepares clear project briefs, takes ownership of projects from start to finish, and follows up with the individuals responsible for each step to ensure projects stay on track.
The Marketing Coordinator serves as a central point of coordination between Marketing and other departments, helping ensure project owners, deadlines, deliverables, dependencies, and approvals are clearly communicated and completed.
Primary Duties
- Receive, organize, and coordinate marketing requests from management and other departments across the companies.
- Gather missing information, including product details, pricing, dates, promotional information, approvals, and other details needed to begin a project.
- Turn marketing requests into clear project briefs with defined objectives, deliverables, owners, deadlines, and next steps.
- Set up, maintain, and manage marketing projects in Monday.com and other internal tracking systems.
- Take ownership of assigned projects from start to finish and follow up with responsible parties to keep deliverables and deadlines on track.
- Identify missing information, potential delays, conflicting requests, or other issues and communicate them to the appropriate person before they become larger problems.
- Coordinate approved promotions, product launches, sales materials, events, digital marketing projects, and other marketing initiatives.
- Work cross-functionally with sales, operations, inventory, brands, graphic designers, outside vendors, and other departments.
- Support weekly marketing meetings by providing project updates, documenting decisions and next steps, and ensuring follow-up items are assigned and tracked.
- Proofread marketing materials for accuracy, consistency, pricing, dates, product information, and other potential errors before final approval.
- Help develop and improve forms, templates, checklists, workflows, and other processes that make marketing projects easier to manage.
- Coordinate logistics and project details for trade shows, conferences, promotional events, and other marketing activities.
- Maintain organized project records and ensure relevant information is accessible to the people involved.
- Perform other related duties as assigned.
Role Boundaries
The Marketing Coordinator is responsible for coordinating the workflow and execution of assigned marketing projects, but does not have final decision-making authority over marketing strategy or major business decisions.
Final approval of strategy, budgets, compliance, pricing, promotions, copy, design, and other significant business decisions remains with the Marketing Director, appropriate manager, or designated project owner.
The Marketing Coordinator is expected to recognize when information or approval is missing, ask the appropriate questions, recommend next steps when appropriate, and escalate issues when a decision falls outside the scope of the position.
What We're Looking For
Cannabis industry experience is important. Prior marketing experience is helpful, but not required.
Your cannabis background might be in retail, budtending, inventory, distribution, brand work, cultivation, production, sales, or another area of the industry.

Requirements
- Must be at least 21 years old.
- Previous cannabis industry experience.
- Strong written and verbal communication skills.
- Strong organizational and follow-through skills.
- Ability to coordinate multiple projects and deadlines simultaneously.
- Comfortable learning new software, systems, and marketing processes.
- Ability to work effectively with multiple departments and outside partners.
- Good judgment regarding when to proceed, ask questions, or escalate an issue.
- Experience with project management or collaboration software such as Monday.com is a plus.
What Success Looks Like
- Marketing requests come in with enough useful information for the appropriate work to begin.
- Projects have clearly identified owners, deadlines, deliverables, dependencies, and approvals.
- Projects continue moving without the Marketing Director having to personally chase every outstanding item.
- Sales, operations, inventory, creative, and other departments know what is needed from them and when.
- Missing information and potential problems are identified early and communicated clearly.
- Marketing materials are reviewed carefully before being finalized.
- Assigned projects are consistently followed through from initial request to completion.
- The marketing team spends less time chasing information, correcting avoidable mistakes, and redoing work.
Growth Opportunity
This is an entry-level marketing position with meaningful project ownership and an opportunity to learn directly from an experienced Marketing Director and creative team.
You don't have to walk in knowing everything about marketing. We're looking for someone who already understands the cannabis industry, is eager to learn, stays organized, communicates well, and can keep projects moving when several things are happening at once.
