Position Overview
Grace Christian Counseling seeks an experienced, trustworthy Bookkeeper/Business Manager to oversee financial operations for a growing family of faith-based counseling and related businesses. The organization currently includes three counseling practices, a real estate company, and a management company, with 60–70 employees and 8–10 contractors across multiple states.
This is not an entry-level role. The primary initial focus is restructuring and separating five legal entities that are currently managed in a single QuickBooks Online file into distinct company files, bank accounts, records, and internal controls. The role reports closely to the owner, Director of Operations, Practice Director, and outside CPA. It starts at ~20 hours/week with strong potential to expand to full-time based on performance and business needs.
Primary Responsibilities
- Lead multi-entity restructuring: separate five entities into individual QBO files, establish charts of accounts, opening balances, bank accounts, workflows, intercompany transactions, management fees, and expense allocations.
- Handle day-to-day bookkeeping, reconciliations, AP, vendor payments, cash management, and documentation across all entities.
- Process semi-monthly payroll (QuickBooks Payroll) for 60–70 employees and contractors, including multi-state support, deductions, PTO, taxes, and year-end reporting (W-2/1099).
- Prepare monthly financial statements (P&L, balance sheet, cash flow, budget-to-actual) and short-term forecasts; support budgeting and present clear insights to leadership.
- Maintain compliance calendars, coordinate tax filings, registrations, licenses, and insurance; develop written procedures, internal controls, and staff training on financial processes.
- Protect confidential financial, payroll, and related information.
First 90-Day Priorities
Assess current systems; create and execute a practical plan to separate the five entities with the CPA and leadership; stabilize payroll, AP, reconciliations, and cash processes; establish reliable monthly reporting; and document key procedures and controls.
Required Qualifications
- 5+ years progressive bookkeeping, accounting operations, or business-management experience, including multi-entity work.
- Strong QuickBooks Online and QuickBooks Payroll proficiency; experience with high-volume transactions, multi-account reconciliations, AP, payroll, and financial statements.
- Ability to work independently, maintain exceptional integrity with sensitive data, and meet strict deadlines.
- Strong organizational, analytical, and communication skills.
- Ability to commute to North Huntingdon, PA, and support the organization’s Christian mission and values.
Preferred Qualifications
QuickBooks Online ProAdvisor certification; bachelor’s degree in accounting/finance/business; multi-state payroll experience; intercompany/shared-expense design experience; advanced Excel/Sheets skills; background in healthcare, behavioral health, or professional services; experience supporting organizational growth or restructuring.
Schedule & Work Arrangement
Approximately 20 hours/week initially with flexible scheduling. Primarily on-site in North Huntingdon; hybrid flexibility negotiable. Immediate availability preferred. Potential to expand to full-time.
