The Sales Coordinator plays a pivotal role in delivering a seamless and high-quality customer experience by managing the full lifecycle of customer orders—including accurate order entry, proactive follow-up, and pricing oversight—with precision and care. This role also supports the ongoing maintenance of customer relationships by ensuring responsiveness, consistency, and reliability in all interactions.
Acting as a key liaison between Sales, Production, the Customer, and Shipping, the Sales Coordinator ensures alignment across functions and drives operational excellence.
This position requires a highly organized, detail-oriented professional who thrives in a fast-paced environment, takes ownership of their work, and proactively identifies opportunities to enhance processes and outcomes.
Key Responsibilities
- Own and manage the end-to-end order lifecycle, from order entry through to invoicing, ensuring accuracy, completeness, and timeliness
- Review and validate all order details, including specifications, pricing, and delivery requirements, prior to release to production
- Collaborate cross-functionally to ensure orders are executed in line with customer expectations and operational capabilities
- Monitor order progress, including regular order follow-up, anticipate potential risks, and take proactive measures to resolve issues before they impact delivery or customer satisfaction
- Communicate and implement all terms of the sales contract and company policies (i.e. freight, minimum order, returns, etc.)
- Support onboarding and mentorship of team members, sharing knowledge and reinforcing best practices
- Build and maintain a strong understanding of products, processes, and systems to effectively support both customers and internal teams
- Collaborate harmoniously with internal manufacturing and support staff, throughout the order fulfillment and problem resolution process for customers, including: logistics, quality issues, etc.
- Assist the Account Manager by working directly with customers on pricing, quotations, and order-related inquiries.
Qualifications and Experience
- Associates degree or equivalent combination of education and experience, in print manufacturing
- 2+ years customer service and/or coordination experience in a print manufacturing environment
- Highly organized and detail oriented for a fast-paced environment
- Strong written and verbal communication skills with a proven ability to collaborate effectively across teams.
- Must be able to efficiently manage multiple projects and tasks simultaneously.
- Proficiency in Microsoft Office; experience with ERP systems (e.g., Microsoft Dynamics AX)
- Effective time management skills and ability to adapt quickly to changing priorities
- Strong sense of urgency and follow-through
- Self-motivated, enthusiastic, and high-energy team player who is focused on organizational goals and committed to following established processes
- Can perform independently with considerable latitude for the use of initiative and independent judgment
