We are known for delivering high-quality treatments and an elevated client experience. As our practice continues to grow, we are looking for a polished, motivated, and client-focused team member to join our front office and sales team.
Position Overview
We are hiring a Client Experience & Sales Coordinator to support both our San Mateo and Burlingame locations. This is a great opportunity for someone who is professional, organized, people-oriented, and interested in aesthetics, skincare, beauty, wellness, or luxury service.
This role is ideal for someone with a background in sales, hospitality, customer service, retail, beauty, wellness, or front desk operations. Medical spa experience is a plus, but not required for the right candidate. We are open to recent college graduates who are eager to learn, grow, and build a long-term career in the aesthetics industry.
The ideal candidate is warm, polished, proactive, and comfortable speaking with clients by phone, text, and in person. This position requires strong communication skills, attention to detail, and the ability to convert inquiries into booked appointments while creating an excellent client experience.
Key Responsibilities
Client Experience & Front Desk
- Greet and assist clients in a warm, professional, and polished manner
- Manage phone calls, text messages, website inquiries, and in-person questions
- Schedule appointments and help optimize provider calendars
- Check clients in and out, process payments, packages, and retail purchases
- Maintain a clean, organized, and welcoming front desk environment
- Support daily opening and closing responsibilities
- Provide a high-end, attentive experience for every client
Sales & Lead Follow-Up
- Respond quickly and professionally to new client inquiries
- Follow up with prospective and existing clients by phone and text
- Help convert inquiries into consultations and appointments
- Clearly communicate services, pricing, promotions, and booking options
- Support sales of treatments, packages, and medical-grade skincare products
- Build strong client relationships that encourage loyalty and repeat visits
- Help meet team goals through consistent follow-through and excellent communication
Team & Operations Support
- Work closely with providers and team members to support smooth daily flow
- Assist with client coordination before, during, and after appointments
- Support retail displays, product organization, and inventory as needed
- Help maintain LuminaSkin’s high standards for professionalism, service, and client care
Ideal Candidate
We are looking for someone who is:
- Local to San Mateo, Burlingame, or the surrounding Peninsula area
- Professional, polished, and reliable
- Friendly, confident, and comfortable talking to clients
- Sales-minded
- Organized and able to multitask in a fast-paced environment
- Comfortable making outbound calls and following up with leads
- Strong in both verbal and written communication
- Interested in aesthetics, skincare, beauty, wellness, or luxury service
- Tech-savvy and able to learn booking and communication systems quickly
- Excited to grow with a high-performing medical spa team
Qualifications
- Bachelor’s degree preferred
- 1+ year of sales, customer service, hospitality, retail, beauty, or front desk experience preferred
- Medical spa, dermatology, or aesthetics experience is a plus, but not required
- Strong phone, text, and in-person communication skills
- Must be able to commute to both San Mateo and Burlingame
- Must be available Monday–Friday and alternating Saturdays
