Role & Responsibilities
The Project Coordinator (PC) acts as a junior member of the liaison team between the clients and the laboratory.
- Assists assigned clients with any questions and inquiries as well as manages their projects.
- Takes orders from clients to meet their analytical needs and communicates them with the laboratory.
- Informs clients of project status and analytical problems, such as holding time expiration, sample loss, MCL violation, report delay, etc.
- Provides clients with technical guidance such as proper sample preservation, sampling technique, and results explanation.
- The PC acts as an assistant to the Project Manager(s) in all aspects relating to client services.
- Provides assistance to assigned Project Manager in any tasks as directed by the PM.
- Prepares bottle orders according to project specification.
- Reviews daily sample confirmation reports and verifies them against the chain-of custody (COC) forms for accuracy and completeness to ensure proper laboratory tests are performed and the results appropriately reported.
- Creates or updates client information, price quotation, and project setup, including scope of work, analysis customization, reporting and invoicing instructions.
- Coordinates with the Dispatcher for sampling events or sample pickups for client projects.
- Coordinates subcontracting work including preparing subcontract COC, sample delivery, obtaining quotation and results from the subcontract laboratories, and any subcontracting issues. Reviews subcontract results for completeness and soundness.
- Monitors on-going projects to ensure projects meet the expected turnaround times. Notifies clients immediately and proactively if any analytical issue arises.
- Reviews analytical results for data quality and completeness. Communicates with laboratory for any questions regarding the data.
- Generates analytical reports and electronic data deliverables. Processes amendment of reports and EDDs where appropriate.
- Prepares and reviews invoices to ensure accurate billing for all work performed. Processes amendment of invoices where appropriate.
- Receives payment from clients and handles monetary transactions.
- Acts as the back-up for Project Managers in their absence.
- The PC acts as an administrative assistant with the CS department.
- Performs any CS related tasks as directed by the Client Services Manager.
- Interacts with other members of the CS department as well as the other laboratory staff, including the Sample Control, Bottles Preparation, Dispatcher, Quality Assurance, and various laboratory departments.
- Provides support to CS Administrative Assistant(s) in filing, copying, scanning, phone reception, mailing, and other clerical duties.
- Provides support in special reporting such as assembling data packages, EDT submission, WaterTrax submission, Geotracker submission, etc.
- Provides sales support for Business Development staff.
Qualifications & Education Requirements
- Minimum associate’s degree in Chemistry, Biology, or related science field.
- 2 years or more experience in environmental laboratory or equivalent experience.
- Analytical instrumentation experience and customer services experience are preferred.
- 7 or more years of environmental laboratory experience may be used in lieu of the educational degree requirement at the discretion of the Lab Director.
