Position Overview
Momentum Counseling and Consulting (MCC) is seeking a detail-oriented and adaptable Operations Admin to support the day-to-day functioning of our mental health practice. This role is central to keeping systems running smoothly across clinical, administrative, and operational areas.
This position blends administrative support, internal coordination, and systems management to ensure strong communication, organized workflows, and high-quality service delivery to both clients and team members. The ideal candidate is proactive, highly organized, and comfortable managing shifting priorities in a fast-paced, mission-driven clinical environment. This role requires discretion, professionalism, strong communication skills, and a commitment to supporting a collaborative, client-centered workplace.
Compensation & Schedule
This role is a full-time non-exempt position working 40 hours per week. The typical working hours are Monday-Friday from 8am-4pm, 9am-5pm, or 10am-6pm. Occasional flexibility and overtime may be required to meet operational needs.
The pay for this position is $20/hour. Benefits include PTO, health benefits, retirement plans, tuition discounts/education partnerships, and referral bonuses.
What You’ll Do
Administrative & Operational Support
- Provide day-to-day administrative and operational support across teams
- Maintain and organize digital systems, documentation, and internal workflows
- Assist with data entry, record maintenance, and general administrative tasks
- Support special projects and operational follow-ups as assigned
Client & Team Coordination
- Serve as a professional point of contact for clients, clinicians, and staff
- Support intake, onboarding, and required documentation collection
- Assist with scheduling coordination, including appointments and changes
- Ensure timely, clear communication across internal systems and teams
Systems, Billing & Compliance Support
- Assist with basic billing, insurance, and payment-related administrative tasks
- Support accurate data entry for client and insurance information
- Maintain HIPAA-compliant practices in all workflows and communications
- Help ensure systems and documentation remain accurate and up to date
Team Culture & Operations
- Uphold professionalism, confidentiality, and MCC standards in all interactions
- Adapt to changing priorities and support evolving operational needs
- Participate in meetings, training, and feedback processes
- Contribute to a collaborative, solutions-oriented team environment
Required Qualifications
- High school diploma or equivalent required (associate’s or bachelor’s degree preferred)
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficiency with Google Workspace or similar systems
- Professional, dependable, and team-oriented work style
- Commitment to confidentiality, ethical conduct, and respectful workplace behavior
Preferred Experience
- Administrative, office coordination, or customer service experience
- Experience in healthcare, behavioral health, or client service environments
- Familiarity with HIPAA compliance and confidentiality-based work settings
- Experience with scheduling systems, EMRs, or data tracking tools
- Comfort working in structured systems with evolving operational needs
