Storage Facility Administrator (Part-Time)
Location: Groveport, OH
Position Summary
We are seeking a reliable, organized, and customer-focused Storage Facility Administrator to oversee the day-to-day operations of our self-storage facility in Groveport, Ohio. This individual will be responsible for delivering excellent customer service, managing tenant accounts, maintaining accurate records, coordinating facility operations, and ensuring the property remains clean, safe, and secure.
In addition to managing the storage facility, this position will provide administrative support to our commercial property management company. Duties may include assisting with tenant communications, data entry, document preparation, filing, and other administrative tasks to support the management of a commercial real estate portfolio.
The ideal candidate is self-motivated, detail-oriented, and comfortable in balancing administrative responsibilities with hands-on property oversight.
Key Responsibilities Customer Services Leasing
- Welcome customers and provide tours of available storage units.
- Respond promptly to phone calls, emails, and walk-in inquiries.
- Assist customers in selecting the appropriate storage unit based on their needs.
- Prepare and execute rental agreements while ensuring accurate documentation.
- Process move-ins, move-outs, transfers, and lease renewals.
- Collect rent payments and manage tenant accounts, including late payments, delinquency notices, liens, and storage auctions.
Commercial Property Management Administrative Support
- Provide administrative support for a commercial property management portfolio.
- Assist with tenant communications and correspondence.
- Prepare letters, notices, reports, and other property management documents.
- Perform data entry, maintain digital records, and organize files.
- Assist with vendor coordination, work orders, invoices, and other administrative projects.
- Support the property management team with day-to-day office tasks as needed.
Administrative Responsibilities
- Maintain accurate tenant files and electronic records.
- Prepare daily, weekly, and monthly reports on occupancy, revenue, and facility performance.
- Process invoices and maintain organized office records.
- Coordinate with vendors and service providers for maintenance and repairs.
Facility Operations
- Conduct routine inspections to ensure the property is clean, organized, safe, and secure.
- Monitor gate access systems, security cameras, and facility security.
- Coordinate maintenance requests and follow up to ensure timely completion.
- Perform light cleaning and general grounds maintenance, including sweeping units, removing debris, and keeping common areas presentable.
- Marketing s General Support
- Assist with marketing initiatives including online listings, signage, promotions, and community outreach.
- Enforce facility policies and procedures professionally and consistently.
- Support company goals and collaborate with team members to ensure exceptional customer satisfaction.
Qualifications
- High school diploma or equivalent required.
- Previous experience in self-storage, property management, commercial real estate, office administration, or customer service is required.
- Experience with Yardi property management software and or Storedge is a plus, but not required.
- Strong computer proficiency, including Microsoft Office and Google Workspace.
- Experience with property management software is beneficial.
- Excellent customer service, communication, organizational, and multitasking skills.
- Ability to work independently, prioritize tasks, and adapt in a fast-paced environment.
- Ability to lift up to 25 pounds and perform light physical duties.
- Dependable, trustworthy, professional, and detail-oriented.
