About the Role
We are seeking a driven, detail-oriented Medical Receptionist and Office Manager to serve as the operational foundation of our Frankfort clinic. This is a hands-on, patient-facing role for someone who takes pride in a well-run office and an excellent client experience.
You will be the first face our clients see and the person responsible for making sure everything behind that front desk runs the way it should. You will lead front office personnel, including receptionists, lab collectors, pharmacy technicians, and medical assistants, while working directly with the Director of Operations and CEO to identify inefficiencies, develop solutions, and optimize how the front office functions. Regular 1-on-1 meetings with the Director of Operations will be a built-in part of this role.

Key Responsibilities
- Serve as the primary receptionist while managing all front office operations and personnel
- Supervise front office staff and hold the team accountable to performance, attendance, and professionalism standards
- Proactively identify process inefficiencies and present solutions to leadership before acting
- Schedule appointments, verify insurance, collect copays, and manage patient flow throughout the clinic
- Handle incoming calls, faxes, emails, prior authorizations, and medication call-ins
- Accurately document and file patient records in AdvancedMD EHR
- Ensure ongoing compliance with HIPAA, AODE licensing requirements, and all CHR policies
- Manage supply inventory, vendor relationships, and facility coordination
- Support internal audits and corrective action plans alongside the Director of Operations and CEO
- Represent CommonHealth Recovery with professionalism in all client and community interactions
What We Are Looking For
- Minimum three years of documented experience in outpatient medical office management and medical reception
- Proven track record of reliability, punctuality, and professionalism, verifiable through professional references
- Demonstrated experience supervising or leading front office staff
- Proficiency in AdvancedMD EHR strongly preferred
- Strong working knowledge of insurance verification, prior authorization, and patient scheduling
- A natural problem solver who builds systems, thinks ahead, and communicates clearly with leadership
- Self-driven, forward-thinking, and genuinely invested in the growth of the organization
- Bachelor's degree in Healthcare Administration, Business, or a related field preferred; equivalent experience considered
References
Three to four professional references are required for candidates who advance in the hiring process. References must be able to speak directly to attendance and reliability, professionalism and customer service, and experience working with both subordinates and leadership.
