The HRBilling Coordinator is an integral member of the Shared Servies team and is responsible for coordinating and administering key day-to-day HR and payroll activities under the direction of the HR Director. This position serves as an important resource for employees and supervisors and is responsible for ensuring that payroll, employee records, benefits, onboarding, and other HR processes are handled accurately, confidentially, and in a timely manner.
This role will also provide accounting support, primarily related to billing for the company's various divisions. Approximately 80% of the position's responsibilities are focused on Human Resources and payroll, with approximately 20% dedicated to billing and accounting support. The successful candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities while meeting strict deadlines. This position requires a high level of confidentiality, sound judgment, strong attention to detail, and a commitment to providing excellent service.
RESPONSIBILITIES

Prepare and process accurate and timely biweekly non-union payroll and weekly union payroll.

Review and verify approved employee time records and work with employees and supervisors to resolve discrepancies prior to payroll processing.

Maintain accurate payroll records and process changes affecting employee pay, including tax elections, insurance deductions, loan payments, garnishments, and other payroll adjustments.

Serve as the primary point of contact for employees and supervisors regarding payroll questions, issues, and corrections.

Review quarterly and year-end payroll tax filings, W-2s, and related reports prepared by the payroll provider to ensure accuracy.

Prepare payroll journal entries and provide payroll information to support accounting and financial reporting.

Maintain accurate and confidential employee personnel files and HR records.

Assist with the administration of company benefit programs, including employee enrollments, changes, and employee questions.

Coordinate and assist with the onboarding process for new employees, ensuring required employment documentation is completed accurately and timely.

Respond to employment verification and reference check requests.

Assist employees and supervisors with basic questions regarding company policies, procedures, benefits, and HR processes, escalating more complex matters to the HR Director as appropriate.

Maintain a high level of confidentiality and discretion when handling employee, compensation, payroll, and other sensitive information.

Assist with projects, reporting, audits, and other initiatives as assigned by the HR Director.

Maintain current knowledge of company HR policies and procedures and assist in ensuring HR processes are consistently administered.

Prepare and process billing for the company's various divisions.

Assist with other HR/Accounting projects as assigned.

EDUCATIONEXPERIENCE

Associate degree in Human Resources, Business Administration, Accounting, or a related field preferred.

Previous payroll experience is strongly preferred; experience with ADP is a plus.

Previous experience with billing is a plus but not required.

Equivalent combination of education, training, and relevant experience will be considered.
