We are seeking an energetic and detail-oriented Customer Service Representative to join our dynamic team! In this vital role, you will be the first point of contact for our clients, providing exceptional support and ensuring a seamless experience. Your enthusiasm and organizational skills will help foster positive relationships, resolve inquiries efficiently, and contribute to the overall success of our office operations. Duties
- Respond promptly to customer inquiries via phone, email, and live chat, demonstrating excellent phone etiquette and professional communication skills
- Manage multi-line phone systems to handle high call volumes with efficiency and friendliness
- Maintain accurate records through data entry, filing, and updating client information in spreadsheets and customer management software such as QuickBooks
- Assist with office management tasks including calendar management, appointment scheduling, and front desk responsibilities
- Support administrative functions like proofreading documents, preparing reports, and managing office supplies using productivity software such as Microsoft Office and Google Workspace
- Provide exceptional customer support by addressing concerns, offering product or service information, and ensuring client satisfaction
- Perform clerical duties including filing, document organization, and maintaining office records with high attention to detail
Requirements
- Proven experience in office management, administrative support, or customer service roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry tools, Avimark a plus!
- Technical proficiency with computer literacy including typing speed and accuracy; familiarity with QuickBooks is a plus
- Excellent phone communication skills with experience handling multi-line phone systems and phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a dental or medical receptionist or personal assistant is advantageous
- Strong organizational skills with the ability to manage multiple tasks efficiently while maintaining productivity software workflows
- Knowledge of clerical procedures such as proofreading, filing, and calendar management
- Ability to work independently with excellent time management skills in a fast-paced environment
