Overview
We are seeking a dynamic and friendly Receptionist / Front Desk Coordinator to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure a smooth and efficient workplace environment. Duties
- Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly.
- Operate multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette.
- Manage appointment scheduling, calendar coordination, and meeting arrangements using Google Workspace or Microsoft Office tools.
- Handle incoming and outgoing correspondence, including emails, mail distribution, and document proofreading to maintain accuracy.
- Maintain organized filing systems, data entry records, and perform basic bookkeeping tasks such as invoicing and QuickBooks data management.
- Support office management by overseeing supply inventory, coordinating maintenance requests, and assisting with clerical duties like typing and document preparation.
- Provide customer support by addressing inquiries promptly and professionally while ensuring exceptional service standards are met at all times.
Experience
- Proven experience in front desk operations or office administration with a strong background in clerical tasks.
- Demonstrated proficiency with computer skills including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software.
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members.
- Prior experience in customer service or administrative support roles that required excellent organizational skills and time management.
- Familiarity with office management systems such as QuickBooks for bookkeeping or calendar management tools is preferred.
- Strong phone etiquette skills coupled with the ability to handle multiple lines efficiently under pressure.
- Previous personal assistant or support roles that involved multitasking, proofreading documents, filing systems, and supporting executive schedules will be considered an asset.
