We are a Plymouth; MA CPA firm and we are seeking an Administrative Assistant to join our team.
The ideal candidate brings 2-3 years administrative experience in a CPA firm or professional services office.
We are looking for someone who excels in client service and seeing projects and tasks through to completion.
Our firm provides income tax preparation and planning, trust and estate tax preparation, assurance and advisory services, and governmental accounting services.
We are a small team with a great office culture and are passionate about providing top-notch service.
Essential Duties and Responsibilities
· Greet clients, in person and by phone, in a friendly and professional manner
· Provide comprehensive administrative support to our team of accountants and CPAs
· Manage the intake, scanning, and filing of client tax documents
· Maintain and update client records
· Communicate with clients through email using Constant Contact
· Assist with client billing processes
· Assemble tax returns for client presentation
· Maintain office supply inventory
What You’ll Bring:
· Experience: 2-3 years of administrative experience in a professional services environment.
· Communication: Excellent interpersonal skills, with the ability to interact effectively with both clients and colleagues.
· Organizational Skills: Detail-oriented, with the ability to prioritize tasks and ensure accuracy in completing assignments.
· Technology Savvy: We have a variety of software – tax, accounting and other programs that will be taught - but must be a fast- learner when it comes to technology.
Good knowledge of multi-line phone systems and Microsoft Office.
· Professionalism: Strong professional demeanor and appearance.
· Client Management: Skilled at managing client interactions and following detailed processes, such as scanning documents, assembling tax returns, and maintaining files.
· Must be someone who likes to follow through tasks to completion and is happy following meticulously detailed steps required.
· Follow up with Owner on calls and messages received from clients and is willing to remind owner more than once!
