We are seeking a highly organized and motivated Construction Project Coordinator / Estimator Assistant to help manage projects from estimate through completion.
Position Overview
The Construction Project Coordinator / Estimator Assistant plays a key role in supporting project execution, customer communication, scheduling, estimating, and job financial management. This position requires someone who understands construction practices, is comfortable working with project management software, and can effectively coordinate labor, materials, subcontractors, and clients.
Experience with Xactimate and Buildertrend is highly preferred.
Responsibilities
Estimating & Job Financial Management
- Assist with creating and reviewing estimates using Xactimate.
- Prepare and process change orders.
- Track project budgets, costs, and profitability.
- Review job costs and communicate financial updates to management.
- Coordinate invoicing and payment schedules.
- Ensure all project documentation is accurate and up to date.
Project Coordination & Scheduling
- Schedule crews, subcontractors, and vendors.
- Coordinate material orders and deliveries.
- Monitor project timelines and ensure milestones are met.
- Manage project schedules within Buildertrend.
- Identify and resolve scheduling conflicts before they impact production.
- Assist Project Managers with daily project needs.
Customer Service & Communication
- Serve as a primary point of contact for customers throughout the project.
- Provide project updates and manage client expectations.
- Address customer concerns professionally and promptly.
- Maintain positive relationships with homeowners, property managers, insurance adjusters, and vendors.
Administrative & Operations Support
- Maintain organized job files and documentation.
- Update Buildertrend with project notes, schedules, selections, and change orders.
- Coordinate permits, inspections, and project closeout documents.
- Support leadership with reporting and project tracking.
Qualifications
Required
- 3+ years of experience in construction, restoration, remodeling, or project coordination.
- Strong understanding of residential and/or commercial construction practices.
- Excellent organizational and time management skills.
- Strong communication and customer service abilities.
- Ability to manage multiple projects simultaneously.
- Proficiency with Microsoft Office and Google Workspace.
Preferred
- Experience using Xactimate.
- Experience using Buildertrend.
- Experience in insurance restoration, mitigation, or reconstruction.
- Understanding of construction estimating and job costing.
- Experience coordinating subcontractors and material procurement.
