Job Summary:
The Mail Data Processing Operator is responsible for preparing, processing, and managing mailing data to support the company’s print and mail production operations. This role ensures all mailing projects meet client specifications, USPS postal regulations, and internal quality standards. The operator works closely with clients, production teams, and account representatives to ensure data accuracy, timely delivery, and compliance with postal requirements.
Key Responsibilities / Essential Job Functions:
- Receive mailing lists from clients and import into templates, assigning fields and adjusting field lengths for longest records.
- Merge, purge, and de-dupe client-supplied mailing lists as required; provide the final list to clients if requested.
- Process mailing lists per client specifications, including CASS certification to create proper postal barcodes, move updates (e.g., NCOA or Return Service Requested), and provide updated lists to clients for approval.
- Presort mail according to client-provided specifications and USPS postal regulations.
- Generate Qualification and Postage Statements; provide statements to customer service representatives or sales personnel.
- Create tray and pallet container tags as needed for mailing preparation.
- Produce 10-up label proof PDFs for client approval.
- Prepare files for digital printing, as well as Video Jet and Buskro systems; reformat digital files as necessary for prepress variable software.
- Once postage is received, upload presorted jobs to PostalOne.
- Maintain and update BCC Mail Manager software to ensure accurate mail processing records.
- Collaborate with internal teams to troubleshoot data, mailing, or postal issues and ensure timely project completion.
- Support continuous improvement initiatives in mail data processing and postal compliance.
- Willingness to help with production activities and assist operators when needed.
Machines/Tools/Equipment:
- Proficiency with BCC Mail Manager software, USPS Business Gateway, PostalOne, and Microsoft Excel.
- Strong knowledge of mail classification, USPS postal regulations, and postage requirements.
Qualifications & Skills:
- High school diploma or equivalent required.
- 2+ years of experience in mail data processing, variable data printing, or database management.
- Strong technical proficiency with mail processing software and USPS postal systems.
- Exceptional attention to detail, accuracy, and organizational skills.
- Ability to manage multiple projects and deadlines in a fast-paced environment.
- Strong problem-solving skills and analytical ability.
- Effective communication and teamwork skills.
Physical Requirements:
- Ability to sit for extended periods while working on a computer.
- Occasional lifting of materials or boxes up to 25 lbs. may be required.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
