Mooseheart Child CitySchool is seeking an organized, detail-oriented Residential Living Administrative Assistant to provide administrative and clerical support to the Residential Living Department. This position serves as the primary administrative resource for Residential Living Supervisors and plays an essential role in supporting the daily operations of our residential program.

Position Summary
The Residential Living Administrative Assistant is responsible for providing administrative support to the Residential Living team, maintaining department records, coordinating communications, and assisting with the daily operations of the Residential Living office. This position requires exceptional organizational skills, professionalism, strong customer service, and the ability to effectively support multiple supervisors while maintaining strict confidentiality.
Essential Responsibilities

Serve as the primary receptionist for the Residential Living Department by greeting visitors, answering and directing phone calls, and assisting staff, youth, and guests.
- Distribute Residential Living communications and information in a timely manner.
- Maintain confidential residential records and filing systems for youth, homes, and Family-Teachers.
- Track and update student census information and travel schedules during school breaks.
- Process incoming and outgoing mail and prepare routine correspondence.
- Prepare reports, forms, spreadsheets, and other departmental documents as requested.
- Enter and maintain departmental data, including point cards and buck sheets.
- Attend departmental meetings and training sessions as assigned.
- Organize and prioritize multiple projects while meeting established deadlines.
- Maintain the confidentiality of youth, staff, and organizational information in accordance with agency policies.
- Provide outstanding customer service while interacting with staff, youth, families, and visitors.
- Perform other administrative duties as assigned by the Director of Residential Living or Residential Living Supervisors.
Qualifications

High school diploma or GED required.
- Two to three years of administrative, office support, or secretarial experience preferred.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Strong written communication, proofreading, and data entry skills.
- Excellent organizational, time management, and multitasking abilities.
- Professional interpersonal and customer service skills.
- Ability to handle confidential information with discretion and professionalism.
- Experience operating standard office equipment, including computers, telephones, copiers, and scanners.
