The Office Manager is responsible for the day-to-day operations of the Cerity Partners Century City office, ensuring a professional, well-organized, and welcoming environment for staff and clients alike. This role serves as the primary point of contact for facilities, vendor, and technology coordination, office supplies, and general administrative support across those teams. The Office Manager also assists with client-facing hospitality, marketing, staff event planning, document management, and Salesforce data hygiene. Success in this role requires strong organizational skills, sound judgment, discretion, and the ability to manage competing priorities and requests from multiple teams flexibly in a fast-paced professional services environment.
Primary Responsibilities
- Provide day-to-day administrative and operational support to multiple teams within the Century City office, balancing differing needs, requests, and priorities across teams
- Manage the office and conference room calendars, coordinating scheduling and room availability for meetings; set up and start/host Zoom meetings held in our conference rooms
- Coordinate building access and parking for staff and visitors
- Manage incoming and outgoing mail, UPS, and FedEx shipments
- Serve as the first point of contact for general office issues, resolving or escalating as needed
- Troubleshoot basic office technology issues, including Wi-Fi connectivity, printer toner, and broken printers, coordinating with IT or outside vendors as needed
- Order and organize office and kitchen supplies, maintaining adequate inventory levels, and clean the kitchen and common areas
- Plan and coordinate staff outings and firm marketing events
- Bind books, scan documents to Box, and manage shredding and recycling of used books
- Greet clients and guests, and provide refreshments upon arrival
- Order breakfast and lunch for client and guest meetings
- Order gifts for client holidays and life events
- Maintain Salesforce hygiene and process routine data updates
Required Qualifications, Skills, and Competencies:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- 2+ years of office management, administrative, or executive support experience
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- Effective time management and ability to multitask in a fast-paced environment
- Sound judgment and discretion when handling confidential information
- Client service orientation and professional demeanor
- Basic troubleshooting of common office technology issues
- Ability to sit or stand at a desk for extended periods
- Ability to lift and carry office supplies and materials up to 25 lbs (paper, books, kitchen deliveries)
Hourly Rate:
$33 - $36 per hour
