Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Answer multi-line phone systems promptly and courteously, transferring calls or taking messages as needed
- Maintain organized filing systems, both physical and digital, ensuring quick retrieval of documents
- Perform data entry tasks accurately using spreadsheets, databases, and productivity software such as Microsoft Office and Google Workspace
- Assist with calendar management and scheduling appointments for team members or executives
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer service support by responding to inquiries via phone, email, or in person, ensuring positive client communication
- Prepare word-processed documents, proofread materials for accuracy, and handle general clerical duties such as copying, scanning, and faxing
- Coordinate office supplies inventory and place orders to ensure smooth office operations
- Support office management tasks including organizing meetings, maintaining cleanliness of common areas, and assisting with special projects
Qualifications
- Proven experience in an administrative or clerical role with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks accounting software and data entry procedures
- Excellent phone communication skills with the ability to handle multi-line phone systems confidently
- Bilingual abilities are highly desirable to assist diverse client needs effectively
- Strong computer literacy including typing speed, proofreading skills, and technical proficiency in productivity software
- Experience in front desk operations or customer support roles such as medical or dental receptionist is a plus
- Knowledge of office management practices including filing systems, calendar management, and office supply coordination
- Demonstrated ability to prioritize tasks efficiently with excellent time management skills
- Personal assistant experience or background supporting executives is advantageous

Pay: $23.92 - $28.81 per hour
