Job Overview
The Revenue Operations Specialist (Billing & Collections) is responsible for supporting the firm’s revenue cycle by managing billing operations, client billing support, collections activities, payment processing, and account maintenance. This role serves as a key point of contact for clients regarding invoices, account balances, payment plans, and collection matters while ensuring the accuracy and integrity of financial records within CLIO and related systems.
Essential Duties & Responsibilities
- Prepare, review, and distribute client invoices in accordance with established billing schedules.
- Ensure accuracy of billing information including client data, rates, costs, and payment terms.
- Enter and maintain billing information within CLIO and other financial systems.
- Manage firm-wide front-end account closing processes within CLIO.
- Maintain accurate client account records, billing preferences, and contact information.
- Ensure all client-related financial transactions are entered completely and accurately.
- Manage application and documentation of operating and IOLTA/trust account payments.
- Coordinate with Finance regarding trust accounting issues, missing payments, checks, and billing discrepancies.
Collections & Revenue Recovery Responsibilities
- Monitor outstanding accounts and assist with collections efforts to improve cash flow and reduce aged receivables.
- Contact clients regarding past due balances in a professional, service-oriented manner.
- Work with attorneys and leadership on collection strategies and account resolution.
- Establish and maintain client payment plans and accurately document arrangements.
- Serve as backup support for collections activities and collections reporting.
- Research account issues and work toward timely resolution of unpaid balances.
Client Interaction & Service
- Serve as a primary point of contact for billing and collections inquiries.
- Provide prompt, courteous, and professional support to clients regarding invoices, balances, payments, and billing processes.
- Explain invoices, payment activity, and account status to clients.
- Research and resolve billing disputes, discrepancies, and client concerns.
- Build positive client relationships while balancing collection goals and firm standards.
Qualifications
- Experience in billing, accounts receivable, collections, revenue operations, or financial administration.
- Use of AI for minimizing repeated manual work around billing /collections.
- Experience with CLIO or legal practice management software preferred.
- Strong customer service and conflict-resolution skills.
- Excellent attention to detail, organization, and accuracy.
- Ability to maintain confidentiality and handle sensitive financial information.
- Strong written and verbal communication skills.

Pay: $25.00 - $30.00 per hour
