Position Summary:
To be an extension of the Corporate Office and perform a wide range of administrative and office support duties for the department, managers/supervisors, and executive staff to facilitate the efficient operation of the company/organization while maintaining the professional behavior of the company’s Essence Core Values.
Essential Functions (including but not limited to):
- Ensure day-to-day operations align with organizational objectives.
- Assists with supervisor of staff as directed by owner.
- Schedules and directs work of technicians as needed.
- Prepare, process, track, file, and scan all sales paperwork/job files from start to finish to include but not limited to: New job folders, Lead/sales/appt results, Install/Detail/Service documents
- Permit process of application, municipality updates, check requests, inspections
- Reviews, updates, audits Daily Activity Report
- Processes incoming service calls and schedules accordingly
- Follow up on outstanding payments
- Cash Management of all customer payments via credit card, check, cash, and digital payment platforms
- Maintains CRM uploads for paperwork and job pictures
- Responsible for the update/maintenance of various reports on a daily/weekly basis to include but not limited to: Monthly Payment Log, All location installer, Permit Reports
- Draft company documents as needed
- FedEx Shipments (internal/external)
- Order and maintain office supplies such as stationery, break room, basic office and equipment needs while staying within budget
- Regular attendance is a necessary function of the position
- Performs other job-related duties as assigned to meet the needs of the business/company
Skills/Physical Abilities/Demands:
- Must have the ability to multi-task, be detail oriented, and perform duties in a timely manner
- Must be trainable, self-motivated, flexible, and can work with minimal supervision
- Must have the ability to sit for extended periods of time while viewing a computer screen
Educational and Other Requirements:
High School Diploma or General Education Degree (GED); or related experience and/or training; or equivalent combination of education and experience. Must be at least twenty-one (21) years of age. Experience in the plumbing, HVAC, or related home services industry is preferred. Familiarity with service scheduling, work orders, permits, parts coordination, and technician support is a plus.
